About The Position

Under general supervision of the Facilities Director, assists staff in department operations. Performs clerical, reception, data entry, purchasing, and inventory duties as directed. Assist in the fulfillment of the organization’s vision and mission.

Requirements

  • High school diploma or GED.
  • One year of related experience preferred.
  • Proficient in Microsoft Office Suite and related business software.
  • Effective presentation, written and verbal communication skills.
  • Willing to work non-traditional hours and days to meet the needs of this position.
  • Maintain a valid California driver’s license, reliable transportation, and auto insurance in compliance with state law, and meet the organization’s insurance requirements for operating organization vehicles.

Responsibilities

  • Oversees parking management and gate access for staff and visitors.
  • Organizes and maintains files for the Facilities Department and the projects it supports.
  • Answers telephone calls and takes messages for Facilities Department staff.
  • Coordinates incoming/outgoing correspondence and distributes/replies accordingly.
  • Uses Facilities Management software to ensure compliance and efficiency.
  • Assists facilities management in maintaining an inventory system for Fresno EOC programs’ equipment used and maintained by the Facilities Department.
  • Assists all Facilities Department staff in various duties.
  • Utilizes agency purchasing system and processes to ensure compliance with agency standards.
  • Models professionalism for staff, contractors, vendors, suppliers, Fresno EOC programs and community members. Promotes a collaborative environment within the service areas, program(s), and organization.
  • Maintains confidentiality of records and information on Facilities staff.
  • Delivers plans, drawings, submittents, and documents and other items to and on behalf of the program.
  • Aids Maintenance Technicians in facilitating the completion of work by picking up supplies from inventory or store, traveling/delivering to worksite and providing assistance while maintenance tech performs work, as needed.
  • Travels for work related business using personal/ organization's vehicle.
  • Maintains regular attendance and punctuality.
  • Works evenings and weekends as required.
  • Performs other duties as assigned.
