As a Facilities Associate at Forrest Solutions, you will play a crucial role in ensuring the efficient operation and maintenance of our facilities. Your primary responsibility will be to assist in the day-to-day tasks related to facility management, contributing to a safe, clean, and productive environment for all employees and visitors. You will work closely with the Facilities team to address maintenance requests, conduct inspections, and support various projects to enhance the overall functionality and appearance of our facilities. This position offers an opportunity to be an integral part of our organization's success by contributing to the smooth functioning and upkeep of our physical workspace. We are seeking a motivated and detail-oriented individual who takes pride in their work and is dedicated to maintaining high standards of facility management. This role reports to the Hospitality Coordinator and Workplace Services Manager.

Requirements

  • Proactive ownership of responsibilities—act without needing direction to complete daily tasks.
  • Consistent execution of walkthroughs using standardized checklists.
  • Timely resolution and follow-up on all issues.
  • Maintain a clean, organized, and fully stocked environment at all times.
  • Strong communication with internal teams, clients, and vendors.

Responsibilities

  • Perform daily walkthroughs (minimum twice daily) to assess facility conditions, cleanliness, temperature, and functionality.
  • Identify, prioritize, and resolve maintenance issues; escalate when necessary.
  • Coordinate routine maintenance, repairs, and vendor services.
  • Ensure all office equipment (e.g., printers, coffee machines) is operational and serviced promptly.
  • Monitor ongoing work and projects to ensure timely completion, ensuring you are checking in with your supervisor and communicating any delays or new requests promptly.
  • Conduct regular safety inspections and address hazards proactively.
  • Ensure compliance with all safety regulations and company standards.
  • Promote a safety-first culture through awareness and best practices.
  • Maintain appropriate inventory levels (PAR levels) for pantries, business centers, and office supplies.
  • Support ordering, tracking, and restocking of supplies.
  • Ensure all areas remain clean, organized, and fully stocked at all times.
  • Partner with internal stakeholders to forecast supply needs.
  • Ensure conference rooms, business centers, and shared spaces are clean, reset, and fully stocked daily.
  • Maintain pantry areas (coffee, supplies, cleanliness) during each walkthrough.
  • Support a high standard of workplace presentation and readiness.
  • Take initiative in maintaining cleanliness without direction.
  • Act as on-site point of contact for vendors and service providers as assigned by supervisor.
  • Escort vendors and ensure compliance with building protocols.
  • Provide support during events, including setup, logistics, and troubleshooting.
  • Respond to facility requests (e.g., seating, temperature, equipment) in a timely manner.
  • Proactively engage with clients, especially for high-priority needs.
  • Support office moves, restacks, and reconfigurations (pre-move checks, coordination with IT, execution support).
  • Assist with workspace turnover (cleaning, setup, updates).
  • Contribute to facility improvement projects and space planning updates (e.g., floorplans).
  • Monitor progress and resolve issues to keep projects on track.
  • Maintain regular communication with Supervisor on issues, updates, and project status.
  • Track and follow up on all open tickets and requests.
  • Complete administrative tasks related to facilities operations.
  • Maintain accurate documentation (inventory, walkthrough logs, floorplans).
