About The Position

The Facilities Assistant is a part-time, non-exempt position responsible for maintaining various facility components including structural, grounds keeping, janitorial, mechanical, and utilities. This role provides day-to-day support for building, program, and staff needs, and assists with the supervision of volunteers. The position involves maintaining cleanliness, performing minor repairs, serving as a liaison to contractors, and assisting with recycling, materials handling, and procurement. The Facilities Assistant will also facilitate room and A/V equipment set-ups for programs and troubleshoot basic IT issues. Flexibility in work schedule is required to accommodate events outside of normal Library hours. The role also includes assisting with building security, safety issues, and snow/ice removal. The employee will enforce Library policies, respond to emergencies, and maintain security during open hours and events. Additional duties include assisting with scheduling maintenance, repairs, and cleaning, overseeing contracted work, running errands using the Library vehicle, and tracking vehicle maintenance. The position requires the ability to follow detailed instructions, work independently, communicate effectively, collaborate across departments, foster diversity, equity, and inclusion, and adapt to multiple priorities. Seeking professional continuing education is also expected.

Requirements

  • High school diploma or equivalent.
  • Proficient in MS Office, Google Workspace, internet browsers and other computer related technologies.
  • Excellent verbal, written and interpersonal communication skills.
  • Dedication to public service and providing excellent customer service.
  • Strong organizational skills and attention to detail; ability to organize work, set priorities and manage projects to completion.
  • Enthusiastic, positive, friendly, self-motivated, creative and approachable.
  • Strong obligation to confidentiality.

Nice To Haves

  • Facilities maintenance experience preferred.
  • Certification in electrical, plumbing and/or carpentry preferred.
  • Experience with irrigation systems, HVAC and boiler systems preferred.
  • Experience with web-based help desk ticket and event/room management software preferred.
  • Ability to speak multiple languages helpful.
  • May require a valid Michigan driver's license based on assignment.

Responsibilities

  • Maintain facility components of structural, grounds keeping, janitorial, mechanical, utilities and equipment.
  • Execute day-to-day support of building, program and staff needs.
  • Assist with the supervision of volunteers.
  • Maintain cleanliness and perform minor repairs inside/outside the building.
  • Serve as Library liaison to cleaning and other contractors.
  • Assist with recycling, materials handling and procurement.
  • Facilitate set-up/take-down/basic IT troubleshooting of meeting rooms and A/V equipment for various in-house and public programs.
  • Maintain flexibility in work schedule to accommodate events held outside of normal Library hours.
  • Assist in all areas of building, grounds and equipment maintenance for security and potential safety issues, including snow and ice removal from walkways.
  • Enforce Library policies relevant to public use.
  • Respond to emergencies and provide support, as needed.
  • Act quickly, exercising good judgment.
  • Maintain security during open hours and for before/after hours' events.
  • Assist with scheduling of routine and other maintenance, repairs and cleaning.
  • Assist in overseeing contracted work and various projects.
  • Use Library vehicle to run various errands.
  • Assist in tracking vehicle maintenance.
  • Follow detailed instructions, work independently without close supervision and assume responsibility.
  • Communicate effectively with patrons, co-workers and professional colleagues.
