About The Position

The Facilities and Event Operations Assistant, under general supervision, provides administrative and operational support for facility rentals, maintenance coordination, and event logistics. This position serves as a primary point of contact for internal and external stakeholders, assists in coordinating pre-event operations for athletic contests, and supports overall facility readiness and usage.

Requirements

  • Bachelor’s Degree or equivalent combination of education and experience.
  • No prior experience required.
  • Knowledge of word processing and spreadsheet applications.
  • Verbal and written communication skills.
  • Ability to multitask and work cooperatively with others.
  • Ability to work with a wide variety of people.
  • Ability to work nights and weekends.
  • Valid driver’s license.

Nice To Haves

  • Experience supporting event operations, facilities coordination, or program administration.
  • Experience working in an athletics or higher education environment.
  • Experience coordinating logistics with multiple stakeholders or external partners.
  • Strong organizational and customer service skills.

Responsibilities

  • Serve as a liaison for local high schools, UIL officials, and external groups regarding facility rentals, ensuring timely communication and coordination.
  • Act as the primary point of contact for all facility rental inquiries and coordinate scheduling, usage, and logistics.
  • Assist in the coordination of facilities operations, including submitting and tracking work orders and collaborating with SSC and other service providers to ensure completion of maintenance and repair tasks.
  • Support pre-game and event operations for athletic contests, including football, soccer, volleyball, and basketball, ensuring facilities and logistics are prepared.
  • Assist in coordinating event logistics, including setup requirements, facility access, and communication with event stakeholders.
  • Maintain records related to facility usage, rentals, and operational activities, including databases and correspondence.
  • Prepare and distribute correspondence related to facility rentals and event operations.
  • Coordinate with internal staff, graduate assistants, and other personnel to ensure smooth execution of daily operations and events.
  • Serve as a resource for information related to facilities, rentals, and event scheduling.
  • Assist with purchasing supplies or materials related to facility operations and events, as needed.
  • Perform other duties as assigned.
