About The Position

Ulteig continues to invest in tradeshows, conferences and experiential marketing as high-value opportunities to build client relationships, elevate expertise and support business development across the Lifeline Sectors. The Experiential Specialist plays a critical role in translating those opportunities into organized, intentional and measurable event experiences across trade shows and events. This role serves as the central connector between event strategy, execution and stakeholder readiness. You will partner closely with the Market Directors, stakeholders, business development leaders, Marketing Team, internal attendees and agency partners to clarify goals, align responsibilities, manage timelines and ensure every event is supported by the right planning, logistics, communications and follow-through. Success in this position requires strong ownership of the experiential marketing operating system, including planning tools, budget visibility, vendor coordination, attendee preparation, sponsorship fulfillment, speaking engagement support and post-event insights. The ideal candidate brings event leadership, strong organization, disciplined project management, stakeholder communication, attention to detail and a continuous improvement mindset to help create a consistent internal client experience and strengthen the business impact of Ulteig’s event investments.

Requirements

  • Bachelor’s degree in Marketing, Business, or related field required.
  • Minimum of 5 years direct marketing event planning required.
  • Ability to travel up to 25%.
  • Professional services firm experience preferred.
  • Proven experience with Microsoft Office applications, including Word, Excel and PowerPoint.
  • Strong analytical and information management skills.
  • Must possess well-rounded knowledge of commonly used marketing concepts, practices, and procedures.
  • Communicates clearly and professionally across written, verbal, graphic and interpersonal settings.
  • Demonstrates strong organization, prioritization and leadership while coordinating multiple events, stakeholders, vendors and deadlines at once.
  • Ability to work independently and collaboratively with employees at all levels to meet deadlines.
  • Willingness to work on repetitive tasks.
  • Demonstrates openness to innovation by embracing and applying evolving technology and AI tools to enhance workflows, solve problems, and drive continuous improvement.

Responsibilities

  • Manage portfolio of approximately 60+ annual shows and events, ensuring each event is planned, resourced and executed in alignment with annual priorities and business development objectives.
  • Lead and execute tradeshow logistics including booth placement, registration, show services, rentals, freight, hired labor, client events, meeting rooms, event scheduling, hotel accommodations, catering, sponsorship fulfillment and onsite readiness.
  • Identifying and coordinating strategic sponsorships, ensuring contracted benefits, budget adherence, deadlines, deliverables, attendee participation and follow-up requirements are tracked and completed.
  • Manage key event vendor relationships, including booth partners to ensure timely execution, cost visibility and a consistent event experience.
  • Lead the annual event planning in alignment with Lifeline Sector priorities, market roadmaps and business development needs.
  • Use previous-year feedback, stakeholder input, event outcomes, market priorities and competitive activity to recommend strategic event participation, sponsorships and experience improvements.
  • Identify event-based thought leadership, presentation, association and membership opportunities that align with market strategies, client needs and Ulteig’s technical expertise.
  • Coordinate with the Marketing Team to integrate approved messaging, brand standards and supporting materials into event experiences.
  • Serve as the primary event partner for Market Directors, stakeholders, sales leaders and internal attendees, facilitating planning discussions that clarify goals, roles, timing, decision points, preparation needs and expectations.
  • Coordinate pre-show communications and attendee meetings to share logistical details, preparation resources, technical requirements, client outreach needs and participation expectations.
  • Lead post-show debriefs and surveys to capture outcomes, lessons learned and recommended improvements for future events.
  • Lead and facilitate the annual tradeshow budgeting process in partnership with Market Directors and the Marketing Team.
  • Develop and maintain the annual event operating plan to support market priorities, budget visibility and resource planning.
  • Own and continuously improve event systems, tools, templates, dashboards, attendee resources and communication platforms to increase visibility and efficiency across the program.
  • Manage the tradeshow budget monthly to maintain alignment with financial targets and update forecasts as needed.
  • Track and report key event performance indicators including attendee engagement, stakeholder satisfaction, client, partner and prospect engagement, business development outcomes, sponsorship value and budget performance to inform future planning, execution and investment decisions.
