About The Position

The Executive Team Assistant contributes to the obtainment of CapEd’s business objectives and mission by providing executive support to the Executive Leadership Team’s day-to-day operations. This position manages complex schedules, coordinates and attends meetings, tracks task completion, arranges travel, and handles communications. This position anticipates needs, maintains a high level of confidentiality, and upholds CapEd’s culture.

Requirements

  • Three to five years of similar or related experience in any or all these areas: Providing direct support to senior leadership Managing complex calendars, travel coordination, and meeting logistics Preparing, editing and organizing executive level documents, presentation and reports Handling confidential and sensitive information with a high degree of discretion Coordinating board meeting, leadership team meetings, agenda and materials
  • (1) A two-year college degree, or (2) completion of a specialized certification or licensing, or (3) completion of specialized training courses conducted by vendors, or (4) job-specific skills acquired through an apprenticeship program.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
  • Mastery of logistics, prioritization, and time management.
  • Strong meeting and event planning abilities.
  • Tendency to create structure and processes to accomplish tasks.
  • Detail-oriented and possess strong and concise verbal and written communication and interpersonal skills.
  • Willingness to travel occasionally and work flexible hours when needed.
  • Professional demeanor shows little bias and exercising extreme confidentiality.

Responsibilities

  • Manage email inboxes for the the executive team. Filter incoming communication and escalates to the right individual, respond on behalf of the Executive as appropriate, and compile cross-department requests that should be shared with the team.
  • Schedule and organize meetings, internal/external, and virtual/offsite. Keep Executives well informed of upcoming commitments and responsibilities with proactive reminders and notification of scheduling conflicts.
  • Support Executives with prepping for meetings by researching topics, compiling and summarizing information, or generating talking points.
  • Support meetings by creating the agendas, compiling supporting documents, physically setting up the room, tracking commitments made during the meeting, taking notes, transcribing and preparing the minutes, and following up on actions with responsible owners.
  • Track memberships in associations and handle registration for conferences, training, and events.
  • Arrange detailed travel plans, itineraries, and agendas, and compile documents for travel-related meetings.
  • Prepare and submit expense reports.
  • Coordinate activities across the organization.
  • Maintain knowledge of all Credit Union products, services, and promotions.
  • Contribute to efficient Credit Union operations by performing other job-related duties as assigned.
