We’re looking for a proactive, detail-driven Executive Team Assistant to provide high-level administrative support to our President/CEO, Executive Team, and Board of Directors. This is a role for a true self-starter — someone who can juggle competing priorities, anticipate needs before they’re asked, and keep our executive office running like clockwork.

Requirements

An Associate of Arts degree and at least 5 years of secretarial or executive support experience at the senior management level.
Proficient computer skills, including MS Office Suite, internet-based tools, and various software programs, with the ability to type at least 75 WPM.
Ability to demonstrate and maintain a high degree of confidentiality and professionalism.
A highly organized, proactive self-starter who can work independently, anticipate needs, and manage multiple priorities in a fast-paced environment.
Level 2 clearance from DCF Clearinghouse required

Nice To Haves

A BA degree in Office Management or a related field, with 5+ years of secretarial or executive support experience.
Event planning experience.
Donor development experience.

Responsibilities

Manage an active executive office, maintaining efficient file and record management systems in support of agency leadership and staff.
Prepare reports, memos, letters, and other documents using Word, PowerPoint, Excel, and databases.
Maintain executive calendars, schedule meetings and conferences, and coordinate appointments.
Conduct research and compile information to support leadership decision-making and special projects.
Provide administrative support to the Board of Directors and Executive Team, including reports and correspondence, at the discretion of the President/CEO.
Oversee training for administrative assistants and coordinate safety drills across sites.
Participate in agency committees and support fundraising efforts as assigned.
Greet visitors and handle requests for information with professionalism and discretion.
