About The Position

Provide comprehensive, confidential, and proactive secretarial support to the Board Chairperson. This role involves managing a complex calendar, scheduling, and prioritizing meetings, events, and travel arrangements. The Executive Secretary will also prepare and coordinate meeting agendas, briefing materials, speeches, and correspondence. A key aspect of the role is acting as a liaison between the Chairperson and internal/external stakeholders, including government officials, board members, partners, and senior executives. Responsibilities include drafting, reviewing, and managing correspondence, speeches, and presentation materials, ensuring consistency and professionalism in communications on behalf of the Chairperson. The role also entails coordinating logistics and protocol arrangements for VIP engagements, official functions, and high-level visits, maintaining proper filing systems, and ensuring accurate and timely documentation. Handling sensitive and confidential information with utmost discretion is paramount. Ad hoc duties, projects, and other assignments as required will also be part of the role.

Requirements

  • Bachelor's degree in Business Administration, Communications or other related discipline
  • 5 to 8 years of work experience, preferably supporting senior executives or C-suite leadership within a sizeable organization or MNC
  • Strong organisational, time management, and multitasking abilities, with the capacity to manage competing priorities under pressure
  • Demonstrated integrity, accountability, and professionalism, with excellent judgement in handling confidential matters
  • Proactive, detail-oriented, and able to anticipate needs and priorities with minimal supervision
  • Strong stakeholder management and communication skills, with the ability to engage effectively with individuals at all levels
  • Positive, committed, and flexible working attitude; able to work Independently and collaboratively as a team player
  • Excellent command of written and spoken English and Chinese, including Putonghua
