About The Position

Deeplocal is seeking an Executive Producer to lead the delivery of complex, highly technical experiential projects for prominent brands. This temporary role emphasizes creative excellence, fiscal project management, and strong client/team communication. The ideal candidate will be deeply involved in the creative process, empowering multidisciplinary teams and contributing to creative concepts and execution. They should be a strategic leader adept at problem-solving, risk identification, and simplification of complex challenges. The role also involves leveraging and managing external freelance and vendor relationships to supplement Deeplocal's in-house capabilities. While based in Pittsburgh, remote candidates are considered, and travel may be required.

Requirements

  • 5-10 years experience producing tangible, interactive experiences, exhibits, or spaces in a creative industry.
  • Creative thinker & problem-solver - able to lead client and team meetings with confidence and clarity.
  • Comfortable translating ambiguity into concrete project plans.
  • Event production, budget management, and logistics experience is required.
  • Highly organized with exceptional communication skills and attention to detail.
  • Strong project management skills; ability to prioritize tasks while managing multiple priorities.
  • Comfortable working within tight deadlines and able to maintain composure when times get tough or priorities conflict.

Nice To Haves

  • Experience producing tech-based live events is preferred.
  • Ideal applicants will come into the position with their own freelance and vendor relationships.

Responsibilities

  • Client Communication: Serve as the primary point of contact, clearly communicating budget estimates, scopes of work, timelines, roles, responsibilities, and project status. Ensure client requests are addressed promptly and responsibly.
  • Production Meetings: Run client meetings during production, bringing in appropriate leads as needed.
  • Defining and Managing Deliverables: Collaborate with Technical and Creative Leads to define project deliverables for scopes of work, vet them with stakeholders, and manage the creative and production process through execution.
  • Developing Budgets: Partner with the Director of Technical Strategy to create comprehensive budgets for project health tracking, vetting them with team leads before client submission.
  • Project Scheduling and Timeline: Develop production schedules and staff plans, understanding creative concepts and execution strategies to create smart resourcing plans that balance creative excellence and fiscal health. Vet schedules with stakeholders and communicate updates.
  • Creative, Technical, and Logistical Awareness: Understand team challenges across mediums and communicate project status, needs, and challenges to clients and internal leads to reach consensus on next steps.
  • Project Team Oversight: Lead team meetings, facilitate communication, resolve disputes, and escalate issues as necessary.
  • Writing SOWs: Draft and present scopes of work, incremental project proposals, and change orders.
  • Sourcing: Procure necessary materials for productions as needed.
  • Project Health / Budget Management: Track team hours and project hard costs, reporting monthly to Finance and Director of Production. Manage external costs, reconcile project costs against budgets, and work with the finance team on revenue recognition.
  • Vendor and Freelancer Management: Source and manage external vendors and freelancers, ensuring contracts are in place and proper procedures are followed. Continuously identify and vet outstanding external partners.
  • Team Support and Growth: Provide emotional support and build morale. Offer leadership and guidance to production assistants and junior producers to ensure projects are well-organized, on brief, on time, and on budget.
