About The Position

An exceptional executive personal assistant is sought for a busy family in LA, with additional homes in San Francisco and Ojai. This is a fast paced, hands-on role with lots of variety and room to grow. While the role will be based in LA, candidates are required to be flexible to travel between all locations as required. This is an asap start.

Responsibilities

  • Travel & Logistics Execution
  • Plan and execute complex travel across multiple locations
  • Manage flights, drivers, pet logistics, hotel coordination
  • Prepare packing lists and ensure all travel-critical items are accounted for
  • Confirm airline policies (e.g., pet policies) in advance
  • Ensure zero last-minute surprises
  • Provide written confirmations for all bookings and vendor arrangements
  • Calendar & Scheduling Management
  • Coordinate personal, medical, and professional schedules
  • Confirm all appointments in advance
  • Provide daily briefings when needed
  • Manage conflicts proactively
  • Ensure travel and meeting logistics align
  • Vendor & Service Coordination
  • Confirm vendors directly (no assumptions)
  • Obtain written confirmations
  • Follow up until completion
  • Maintain vendor database with backups
  • Never report something as confirmed without verification
  • Personal & Family Logistics
  • Manage gifting, important dates, shipping
  • Coordinate dog walkers, service providers, and household support
  • Track deadlines and ensure completion
  • Oversee short-term project follow-through
