About The Position

The Executive & Personal Assistant to the Founder serves as a trusted strategic partner responsible for managing and protecting the Founder's time, priorities, and relationships. This role oversees all aspects of the Founder's professional and personal scheduling, ensuring alignment between business objectives and personal commitments. The Executive & Personal Assistant acts as a gatekeeper, making thoughtful decisions regarding meeting requests, opportunities, and competing priorities while ensuring the Founder remains focused on the highest-value activities. This role develops a deep understanding of the Founder, their family, key clients, strategic partners, and business goals. They coordinate meetings, travel, and logistics, maintain communication with key stakeholders, and partner closely with the Private Wealth Service Advisor to the Founder and other SEAL team members to ensure seamless execution of priorities. The ideal candidate is highly resourceful, organized, proactive, discreet, and capable of exercising sound judgment in a fast-paced environment.

Requirements

  • High School diploma or GED required
  • Valid driver's license with a clean driving record required
  • Experience managing complex calendars and coordinating executive travel required
  • Exceptional organizational and project management skills
  • Strong interpersonal skills with the ability to build trust and credibility quickly
  • Ability to maintain strict confidentiality and professionalism
  • Highly detail-oriented with exceptional follow-through
  • Proactive and resourceful, with the ability to anticipate needs and solve problems before they occur
  • Strong written and verbal communication skills
  • Ability to successfully manage competing priorities in a fast-paced environment
  • Proficient in Microsoft Office Suite, calendar management systems, and CRM platform

Nice To Haves

  • Associate's or Bachelor's degree preferred
  • 5+ years of experience supporting senior executives, business owners, entrepreneurs, or high-net-worth individuals preferred

Responsibilities

  • Manage and oversee the Founder's professional and personal calendar, ensuring strategic prioritization of commitments and protection of time
  • Evaluate meeting requests, networking opportunities, and business engagements, making recommendations regarding scheduling and prioritization
  • Coordinate and schedule all client meetings, COI meetings, and internal meetings on behalf of the Founder
  • Partner closely with the Private Wealth Service Advisor to the Founder to align schedules, priorities, follow-up actions, and strategic initiatives
  • Monitor and assist with management of the Founder's email inbox and communications, ensuring timely responses and follow-up
  • Manage business travel arrangements, itineraries, accommodations, transportation, and related logistics
  • Prepare daily schedules, briefing materials, meeting agendas, and background information for upcoming appointments
  • Act as a gatekeeper for inbound requests, exercising discretion and judgment regarding access to the Founder
  • Track Joel continued education requirements (CE), study group renewals, licensing renewals, etc.
  • Manage communication with clients, prospects, and COIs related to company sponsored events
  • Build strong working relationships with clients, COIs, vendors, and members of the Founder's personal network
  • Develop a thorough understanding of the Founder's goals, priorities, communication preferences, and key relationships
  • Drive the Founder to client meetings and business events as needed, enabling productive use of travel time
  • Maintain awareness of client, business, and personal commitments to proactively identify scheduling conflicts and opportunities
  • Manage confidential business and personal information with the highest degree of professionalism and discretion
  • Anticipate needs, identify obstacles before they arise, and implement solutions independently
