About The Position

We are seeking an exceptional Executive Assistant to support our Chief Operating Officer and Vice President of Operations. This is not a role for someone who wants to sit behind a desk waiting for assignments. We're looking for a proactive, energetic professional who anticipates needs, solves problems before they become obstacles, and takes ownership of projects from start to finish. Requirements

  • High School Diploma or equivalent required; Bachelor's degree preferred
  • 3+ years of experience supporting senior leaders, executives, or department leadership
  • Demonstrated success managing multiple priorities and deadlines simultaneously
  • Strong organizational, communication, and project coordination skills
  • Advanced proficiency with Microsoft 365 including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint
  • Valid Florida Driver's License with an acceptable driving record
  • Ability to pass a Level II Background Screening and drug screening. This position requires screening through the Florida Care Provider Background Screening Clearinghouse.

Responsibilities

  • Managing complex executive calendars, schedules, and communications
  • Monitoring priorities, deadlines, and action items to ensure nothing falls through the cracks
  • Coordinating cross-functional projects and following up with departments to drive results
  • Supporting maintenance initiatives and capital projects by tracking timelines, documentation, approvals, and vendor communications
  • Preparing agendas, presentations, reports, and meeting summaries
  • Building and maintaining positive relationships with vendors, contractors, and community partners
  • Organizing internal and external events and providing support during occasional evenings and weekends
  • Maintaining organized records, workflows, and project documentation
  • Providing backup support to the Executive Assistant to the President/CEO as needed
  • Assisting other members of the executive team with special projects and operational initiatives
