About The Position

We are a lively, busy family of five living in Oakland, CA, with three children aged 6 months, 4 years, and 8 years old. We are seeking an Executive House Manager & Family Assistant to provide hands-on support to help manage the day-to-day flow of our home with ease and consistency. Our family values systems, efficiency, clear communication, warmth, humor, and a positive, growth-oriented mindset. We are intentional about our time, health, and creating space to be more present. This role is part-time, approximately 15-20 hours per week, with a schedule of 3-4 days a week, Monday–Thursday between 10 am and 4 pm, with flexibility for occasional weekends. The compensation is $35–$45 per hour based on experience, and the start date is ASAP. We are looking for someone who takes initiative, follows through, and takes pride in creating a smoothly running, thoughtful, and caring home environment. The ideal candidate is tech-savvy, detail-oriented, operationally strong, adaptable, solution-oriented, collaborative, coachable, energetic, and hands-on, with long-term intentions to become a trusted extension of the family.

Responsibilities

  • Maintain and organize household systems, including daily tidying and reset of the home.
  • Coordinate seasonal swaps (clothing, décor, bedding), manage donation drop-offs, and handle event/holiday preparation.
  • Organize toys, gear, and other storage areas as needed, and pack/unpack for family travel.
  • Care for indoor plants and flower arrangements, and change batteries, light bulbs, and smoke detectors.
  • Restock pantry, fridge, and household supplies, manage ongoing household supply lists, and oversee household orders and subscriptions.
  • Break down boxes from deliveries.
  • Prepare healthy meals and snacks for children, following dietary restrictions, and plan and cook weekly meals for the family.
  • Manage kitchen upkeep and meal prep consistency.
  • Schedule and track vehicle maintenance, and clean and organize family vehicles.
  • Coordinate vendor services (handyman, landscaping, etc.) and oversee home repairs and seasonal maintenance tasks.
  • Manage outdoor space upkeep.
  • Manage the family calendar and schedule, including school events, appointments, and travel plans.
  • Assist with research for family activities and support during family travel planning.
  • Plan and coordinate logistics for family trips, including camp research and registration, weather planning, packing, kids' activities, and troubleshooting.
  • Coordinate events and appointments.
  • Track receipts and manage budget for future home renovations.
