About The Position

The Executive Finance and Operations Coordinator is a trusted operational partner to the Chief Financial Officer and senior Finance leaders. This role provides executive support, financial operations coordination, payroll administration, project management, reporting assistance, and confidential administrative support for the CFO office. It helps coordinate time-sensitive Finance priorities, support leadership decisions, track key deliverables, and maintain accurate and timely completion of executive, departmental, audit, payroll, reporting, and compliance activities. Working closely with Finance, Human Resources, Development, Operations, and other departments, the position supports compliance with Foundation policies, standard operating procedures, and applicable regulatory requirements. It also assists with CFO office priorities, board and committee preparation, audit readiness, financial reporting, tax filing coordination, process improvements, and system implementation efforts that strengthen operational effectiveness, accountability, and internal controls. The Executive Finance and Operations Coordinator serves as a central resource for Finance Department projects, operational coordination, executive decision support, and timely completion of key departmental and CFO office initiatives.

Requirements

  • Bachelor's degree in Business Administration, Finance, Accounting, Operations Management, Project Management, or a related field.
  • Equivalent combination of education and relevant experience may be considered.
  • At least 5 years progressive experience in office/finance environment.
  • Familiarity with automated payroll platforms (e.g., ADP, Workday, Rippling, Paylocity) and multi-state processing rules.
  • Strong project planning, coordination, follow-through, and stakeholder communication skills, with the ability to manage competing priorities in support of Finance leadership.

Nice To Haves

  • Coursework, certification, or professional training in payroll administration, finance operations, project coordination, executive support, or nonprofit administration.
  • 2–4 years of experience coordinating administrative operations, with direct exposure to payroll and finance support; experience supporting senior executives, leadership teams, C-suite leaders, board or committee preparation, confidential materials, and cross-functional executive priorities.

Responsibilities

  • Manage regular and off-cycle payroll, ensuring accuracy, compliance, and timely execution.
  • Prepare payroll for independent review and approval by Finance leadership.
  • Maintain payroll records, documentation, reconciliations, and audit trails.
  • Coordinate with Human Resources to accurately process employee changes, compensation adjustments, benefits, and payroll deductions.
  • Resolve payroll discrepancies, respond to employee inquiries, and support payroll tax reporting, year-end processing, and W-2 preparation.
  • Support employee benefits, workers' compensation, financial statement, and other regulatory audits and tax compliance by providing required payroll data, reconciliations, and documentation.
  • Assist in maintaining and improving payroll controls, processes, and compliance procedures.
  • Maintain financial, operational, and administrative records in accordance with document retention and confidentiality requirements.
  • Support the development and maintenance of Finance procedures, internal controls, workflows, and standard operating procedures.
  • Assist with process improvement initiatives, software implementations, system upgrades, and technology enhancement projects.
  • Provide high-level administrative, project, and executive office support to the CFO and senior Finance leaders, including meeting coordination, agenda and materials preparation, action-item tracking, governance activities, compliance reporting, follow-up with stakeholders, and support for strategic initiatives.
  • Maintain confidentiality of sensitive financial, personnel, and organizational information.
  • Coordinate monthly financial reporting workflows, including distribution of financial statements, monitoring approvals, and follow-up on reporting requirements.
  • Communicate reporting deadlines and responsibilities to Finance leadership.
  • Support audit requests, financial analyses, and special projects.
  • Assist with process improvements that enhance reporting effectiveness, accountability, and operational efficiency.
  • Coordinate and monitor Finance projects, including documentation, milestones, deliverables, approvals, and stakeholder communications.
  • Support strategic Finance initiatives, operational improvements, and departmental priorities.
  • Prepare status updates, track progress, and identify opportunities to improve workflow efficiency and project outcomes.
