About The Position

You will be the Executive Business Partner on the West Coast, providing dedicated executive support to a small set of senior leaders based in or frequently traveling through the Bay Area. You will partner closely with our New York-based EBP to provide cohesive coverage across time zones, so no executive is left without support when their counterpart is unavailable. You will support no more than three to four executives at a time so the quality of partnership never dilutes. Your principals operate across Bay Area customer meetings, international travel, and high-stakes external engagements, and you are the person who keeps their logistics, calendars, and travel running so they can focus on the work only they can do. Success is measured by how reliably your executives move through a complex week, how few logistical fires they have to manage themselves, the trust they place in your judgment, and the consistency of communication and follow-through across every stakeholder who works with you.

Requirements

  • Experience as an EA, EBP, or equivalent at a major technology company supporting senior executives. You have done this job at scale and know what "excellent" looks like.
  • Discretion as a default operating mode. You have been trusted with highly confidential information and understand instinctively what to share, what to deflect, and how to deflect it gracefully.
  • Proactive and anticipatory. You do not wait to be told what needs to happen. You see the gap, the conflict, or the unspoken need and handle it before it lands on your executive's desk.
  • Highly organized and fast-moving. You track many threads at once across multiple executives, time zones, and workstreams without dropping any. You are one step ahead, not one step behind.
  • Strong communicator on the phone, in writing, and in person. You are comfortable calling a restaurant, a hotel, or a car service to make something happen, and you write an email that represents your executives well, including for principals with more formal communication norms.
  • Worldly and resourceful in a global context. You navigate airports, time zones, currencies, and visa logistics with confidence, and you triage when something goes wrong in a city you have never been to.
  • Comfortable with ambiguity and startup pace. You are happy to operate without a perfect playbook, figure out what is needed, and build the process as you go.
  • Flexible about working style. You will travel to leadership offsites and major customer or conference moments, and you are available for the occasional off-hours need without expecting that to be the norm.

  • Experience supporting founders or executives in deep-tech, AI, or hard-science startup environments.

Responsibilities

  • Own calendar, inbox, travel, and expense management end-to-end for your executives. Coordinate complex multi-leg international travel across the US, Europe, and Asia, including last-minute changes, time-zone math, and re-bookings when plans shift in flight. You catch the daylight-saving edge cases and the tight connection windows before they become problems.
  • Be a true extension of the executives you support. Treat them as your customer, stay in lockstep on priorities, and represent them externally with the formality and tone each one expects. Discretion is non-negotiable, and you protect confidential information across personal, financial, and strategic matters without exception.
  • See around corners and connect dots before anyone asks. You spot the conference conflict, the gap in a customer visit, and the logistical need that hasn't surfaced yet. You bring things to the table early, not when they have already become a problem.
  • Solve travel and logistics issues on the fly. You are comfortable on the phone with airlines, hotels, restaurants, and car services, and you get it done quickly.
  • Partner with the New York-based EBP to provide backup coverage across both coasts. When one of you is out, the other steps in for the principals on either side so nothing stops. You build the working rhythm and shared visibility that make those handoffs seamless during travel, PTO, or off-hours.
  • Anchor Normal's presence in the Bay Area. As we grow our footprint on the West Coast, you will help host visiting executives, candidates, partners, and customers, and partner with our Workplace Operations Manager to make the space feel like Normal wherever leadership lands. Build a local network of restaurants, venues, car services, and vendors so executive logistics never wait on short notice.
  • Travel to leadership offsites and major customer or conference moments. Provide onsite support where executives are speaking, hosting, or meeting partners, and coordinate logistics for executive participation in conferences, board meetings, and external engagements.
  • Maintain a flexible operating rhythm that matches the work. The role is not 9-to-5, but it is also not 24/7. You handle the one-off moments when an executive needs help at an unusual hour with the same composure you bring to a Tuesday morning calendar review.
