CEAI is seeking a skilled Executive Business Administrator to support a General Manager (GM) and their team. This position will take on a variety of tasks while working in a fast-paced and dynamic environment. We are looking for a self-motivated team player with a can-do attitude. The ideal candidate will possess strong organizational and interpersonal skills, anticipate needs proactively and shift priorities quickly, and be self-motivated with the ability to independently manage multiple requests.

Requirements

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.

Nice To Haves

  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
  • Proficiency with Microsoft productivity software including all office suite programs such as Outlook, Microsoft Teams, SharePoint, OneNote, & PowerPoint.
  • Experiece with utilizing and/or building AI agents.

Responsibilities

  • Proactively manage complex calendar for GM in a fast-paced environment with shifting priorities, ensuring accurate scheduling and prioritization; strong understanding of the business partners and stakeholders across the company to ensure GM has workback meetings in preparation for engagements
  • Work closely with leads and program owners on Rythum of Business (ROB) planning and execution aligning with team priorities and deliverables; track multiple workstreams, identify priority attendees and build workback schedules.
  • Organize global morale events and team meetings for 250+ person org; secure meeting space, build agenda, order catering, coordinate schedules, provide onsite support.
  • Maintain distribution groups, security groups and team memberships.
  • Manage travel arrangements for GM; act as stand-by resource to address issues during travel.
  • Reconcile and submit expense reports for GM; act as interim approver for expense reports ensuring coding accuracy and adherence to MS Policy.
  • Support full hiring cycle by managing Position Control Numbers (PCNs), submitting requisitions, and onboarding new hires.
  • Provide hardware tracking and assist with equipment procurement for new hires and as refresh devices.
  • Complete special projects as requested on time, on budget with operational excellence.
  • Demonstrate leadership by maintaining a professional attitude and contribute to the team culture through participation; seek to mentor and act as a resource to other business support colleagues.
  • Ensure compliance of Microsoft policies and procedures.
