The Customer Experience Architecture (CXA) organization, an organization within CE&S, is dedicated to the continuous innovation of technology and process architecture to enhance the customer experience. In this role, you will report directly to the VP for CXA, supporting the CE&S Technology Office (CTO). You will work in close partnership with the Chief of Staff, the business admin community, the CXA leadership team, and other key stakeholders across CE&S and Microsoft. We are seeking candidates who have excellent organizational, interpersonal and communication skills along with the ability to work independently and professionally at the Microsoft executive level. The ability to work successfully under pressure within short time constraints in a fast-paced team environment, build and maintain effective working relationships, accommodate diverse working styles in addition to attention to detail, problem-solving skills, and the ability to maintain strict confidentiality are essential to success in this role. Requirements

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.

Nice To Haves

  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
  • 2+ years experience serving as mentor to others.
  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).

Responsibilities

  • Support VP in person when VP is in office
  • Manage a complex executive calendar, ensuring accurate scheduling including meeting logistics, and strategic prioritization of meetings.
  • Proactively engages with leaders and key stakeholders/business partners to make decisions and cascade information as needed.
  • Build an understanding of what is critical to the business, allowing you to make the appropriate decisions which impact the Leaders time.
  • Work closely with the Chief of Staff on Rhythm of the Business (ROB) processes, ensuring tight coordination of Executive and Team commitments.
  • Arrange domestic and international travel, including flight itinerary, hotel, logistics and conference registration.
  • Submit accurate and timely expense reports for the Executive, and act as interim approver on all team expense reports, ensuring coding and cost center accuracy.
  • Event planning including scheduling and logistics for all offsites and any other events sponsored by the VP/Chief of Staff Team. Contributes to development of workback schedule, promotion, and necessary checkpoints. Takes responsibility for event outcomes and demonstrates executive presence.
  • Participates in discretionary budget tracking (e.g., morale, hardware, supplies)
  • May perform vendor and supplier management, including PO creation and ensuring they are set up for financial processing.
  • May contribute to complex budget management in partnership with peers (e.g., Finance, Controller, Business Managers, Chiefs of Staff) by reviewing, forecasting, and providing recommendations to ensure efficiency/quality.
  • Lands onboarding activities (e.g., ordering new-hire equipment, setting up workstations, distribution lists, security groups) and provides support to new employees, vendors, and interns as an essential contact for questions and company information.
  • Lands and manages headcount management activities in collaboration with Business Manager(s) and/or Chiefs of Staff including transfers/departures, reporting, offboarding, and transactions within headcount management tools.
  • Help create a fun team environment aligned to the team culture through oversight of the physical space, events, services, and engagement.
