About The Position

UN Women, guided by the vision of equality, works to eliminate discrimination against women and girls, empower women, and achieve equality between women and men. The Executive Board Secretariat, operating from the Executive Director’s Office, serves as the liaison between UN-Women and its Executive Board, which comprises 41 elected Member States. The Secretariat team supports the President and four Vice Presidents of the Executive Board in organizing and conducting official and informal sessions and meetings. This includes three official Board sessions, numerous informal briefings, UN-Women field visits, joint field visits of the Executive Boards, and joint meetings of the Executive Boards of UNDP/UNFPA/UNOPS, UNICEF, UN-Women, and WFP. The Secretariat's key functions involve advising the Executive Director on inter-governmental and political matters related to Board activities, facilitating negotiations of Executive Board Decisions, assisting in the substantive preparation of documentation in coordination with other UN-Women divisions, managing logistical arrangements, and preparing for field visits and joint meetings.

Requirements

  • A Master’s degree or equivalent in the field of political sciences, social sciences, international relations, law, government, or other relevant field is required
  • In lieu of a Master's, a Bachelor's with additional two years of experience will be accepted
  • At least 1 year of experience in administration, inter-agency coordination and/or intergovernmental processes at the national/international level, required
  • Experience in the use of computers and office software packages (MS Word, Excel, etc.) and in handling web-based management systems, required
  • Fluency in English, oral and written, is required
  • Full-time, on-site availability in New York City

Nice To Haves

  • Experience in working with the United Nations and, particularly, the Funds and Progammes such as UNDP, UNFPA, UNOPS, UNICEF or WFP, an asset
  • Experience in facilitating documentation processing and communications, an advantage
  • Working knowledge of another UN official language is a strong advantage

Responsibilities

  • Support the team in the preparation of briefing notes, talking points, draft generic correspondence, taking meeting records and other documentation
  • Assist in the coordination of substantive preparations of documentation for Executive Board meetings (liaising with UN Women teams, other Divisions, EDO)
  • Assist in communications work for the Executive Board Secretariat, including through maintaining and updating the EB website, monitoring the generic e-mail inbox, updating e-mail distribution lists, and managing the Executive Board X account
  • Act as scheduling officer for the Secretary of the Executive Board
  • Support inter-agency coordination, including through updating the joint-EB calendar, supporting joint meetings of the board activities
  • Provide other support to the Executive Board Secretariat and to official sessions, informal briefings, and related events
  • Coordinate with DGACM and other teams as needed to ensure successful conference services arrangements
  • Support organizing Advisory Committee on Oversight (ACO) meetings, including documentation preparation, note-taking, and follow-up
  • Perform other tasks as needed
