To support this work at the highest level, PSE is seeking a highly experienced Executive Assistant to provide strategic and administrative leadership in support of the company’s officer team. This role contributes to PSE’s success by providing executive-level administrative support of a complex and highly confidential nature, enabling officer effectiveness and driving operational excellence. The Executive Assistant supports assigned officers through comprehensive calendar management, travel planning, expense reporting, meeting and event coordination, and executive correspondence, including ghostwriting as appropriate. The role requires planning, implementing, and managing multiple concurrent activities in support of corporate initiatives, strategic objectives, and executive priorities, while exercising independent judgment and handling sensitive and confidential information with discretion. Responsibilities also include developing and maintaining databases and file systems, performing data gathering and research, organizing meetings, and using a variety of computer applications to create charts, reports, and other materials. The Executive Assistant communicates and interacts with a wide range of internal and external stakeholders, including PSE customers, Board members, officers, regulatory and legislative partners, WUTC Commissioners, Senators, and key business and community leaders, serving as a trusted and professional representative of the organization. The ideal candidate brings significant experience supporting officers in a fast-paced, highly visible environment, exceptional written and verbal communication skills, strong organizational abilities, advanced proficiency in Microsoft Office, and experience managing travel and expenses using platforms such as Chrome River. You bring poise, anticipate needs before they arise, and thrive as a trusted partner to senior leaders, while remaining committed to work that advances clean energy, customer value, and long-term sustainability. Requirements

  • 5 years’ high-level administrative or professional experience.
  • Strong verbal and written communication skills.
  • Demonstrated ability to learn quickly.
  • Extensive experience using Microsoft Outlook, Excel, PowerPoint, Word and Visio software.
  • Strong organizational and multi-tasking skills.
  • Experience handling extremely confidential materials.
  • Detail oriented; strong proofreading skills; excellence in production work.
  • Ability to work effectively with both internal colleagues and external parties.

Nice To Haves

  • College-level coursework.
  • Experience working with SAP or other enterprise-wide software outside of Microsoft Office.
  • Experience or training in customer service/relations.
  • Experience with data analysis, spreadsheet formulas and custom reporting.

Responsibilities

  • Manages calendars, coordinates travel arrangements, and composes correspondence for officers.
  • Typically first contact for external regulatory and legislative individuals, consulting firms and, occasionally, customers.
  • Prepares and processes officers’ expense reports, and prepares/assists in tracking officers’ budget and expenses.
  • Completes time sheets for officers.
  • Data inputs, retrieves and prepares reports from various computer applications.
  • Gathers and organizes paperwork and data for department.
  • Prepares draft correspondence, emails, meeting materials, and minutes.
  • Acts as liaison between officers and direct reports.
  • Works independently and prioritizes tasks in a fast-paced environment.
  • Organizes departmental meetings and functions, including catering, group e-mail invitation lists and venue reservations.
  • Provides occasional backup to executive receptionist and other executive assistants.
  • Passion for continuous improvement and teamwork.
  • Performs other duties as assigned.
