Requirements

  • Minimum 5+ years of Executive Leadership Administrative Assistance experience
  • Customer Service Background
  • Office Management experience
  • High School Diploma (Degrees in Business preferred)
  • Customer Service Focus – Internal / External
  • EXCELLENT written and verbal skills
  • Extremely high level of task / project ownership

Responsibilities

  • Act as the administrative assistant for the BIS Infrastructure leadership team to remove administrative burden and allow them to focus on mission-critical activities.
  • Manage the leadership team's schedules, protect focus time, and prepare meeting materials.
  • Serve as a Follow Up Manager within the BIS Infrastructure team, consistently tracking and ensuring the completion of open tasks to drive business growth.
  • Facilitate designated meetings by sending Outlook invitations, managing attendee coordination, preparing agendas in consultation with the leadership team, attending meetings to capture action items and follow-ups, compiling meeting minutes, preparing task lists, circulating documents, and tracking action item completion.
  • Support onboarding logistics for new team members.
  • Assist with company events, meetings, and off-site coordination.
  • Administer calendars by scheduling meetings, resolving conflicts, coordinating across departments and time zones, and protecting executive focus time.
  • Provide project assistance by preparing documents, presentations, and spreadsheets; supporting reporting and data organization; and maintaining organized digital filing systems.
  • Assist leaders with expense reports as requested.
  • Provide administrative assistance to team members as needed, including creating binders for presentations and coordinating events or training.
  • Coordinate business travel arrangements, including flights, hotels, and itineraries, and provide private travel support as requested.
  • Manage on-site visit logistics for customers or partners.
  • Track and manage employee badging requirements for various projects.
  • Oversee and track security clearance processes, including applications, renewals, and record keeping.
  • Maintain confidentiality of sensitive records.
  • Perform other duties as assigned.
