About The Position

The Executive Assistant (EA) provides high-level administrative support to senior executive leaders (SVP/VP) while also supporting their broader teams and department operations. This role is fast-paced, dynamic, and requires exceptional organization, flexibility, and discretion. You will be part of a highly collaborative EA team that works closely together to support multiple leaders and changing business demands. No two days are the same—priorities shift frequently, and success depends on anticipating needs and staying one step ahead. In this role, you will regularly plan, coordinate, and execute both executive-specific tasks and department-wide initiatives.

Requirements

  • 4–6+ years of Executive Assistant or senior administrative experience (supporting VP/SVP/C-level preferred).
  • Strong proficiency in Microsoft Office Suite, especially Outlook, PowerPoint, Excel, and Word.
  • Experience managing complex calendars, high-volume meetings, and executive travel.
  • Strong communicator with excellent interpersonal, written, and verbal skills.
  • Extremely organized and detail-oriented; able to manage multiple urgent priorities.
  • Flexible and comfortable shifting tasks based on evolving business demands.
  • Team-first attitude with the ability to build strong relationships with EA peers and internal partners.
  • High integrity, professionalism, and discretion.
  • Proactive problem solver with the ability to anticipate needs before they arise.

Nice To Haves

  • Familiarity with SAP or SAP Concur is a plus.
  • Comfort operating in a fast-paced, ever-changing environment with cyclical quarterly work.

Responsibilities

  • Manage complex, high-volume executive calendars with shifting and competing priorities.
  • Coordinate domestic and international travel, including multi-leg itineraries, lodging, transportation, and required approval workflows (including VP-level travel approvals).
  • Prepare briefing documents, presentations, meeting materials, and financial/operational summaries.
  • Serve as a liaison between executive leadership and internal/external stakeholders.
  • Coordinate and support departmental meetings, quarterly business updates, global or cross-functional calls, and other recurring events.
  • Support gathering and communicating team milestones (birthdays, promotions, anniversaries, recognition items).
  • Assist with recognition processes such as Value Award nominations and postings.
  • Prepare PowerPoint decks, speaker materials, agendas, and communications for larger team meetings.
  • Book conference rooms, manage in-person vs. virtual logistics, and set up audio/video equipment.
  • Screen calls, manage mail, and maintain accurate filing systems (electronic and hard copy).
  • Proxy into systems for approvals when needed (e.g., requisitions).
  • Order lunch or handle day-to-day logistics for executives based on preference.
  • Ensure administrative tasks are completed accurately and on time in a rapidly changing environment.
