Requirements

  • 3–7+ years of experience as an Executive Assistant or similar senior support role
  • Exceptional organizational skills with the ability to manage shifting priorities
  • Strong written and verbal communication skills with professional polish
  • High level of discretion, judgment, and confidentiality
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, Teams)
  • Proven ability to work independently and anticipate executive needs
  • Must pass background check and credit check

Nice To Haves

  • Experience supporting C-level executives strongly preferred (Finance/Operations a plus)
  • Experience with CRM, financial systems, or enterprise tools preferred
  • Bachelor’s degree in Business Administration, Finance, or related field preferred

Responsibilities

  • Manage complex and fast-moving executive calendars, including prioritization and scheduling
  • Coordinate domestic travel arrangements and detailed itineraries
  • Serve as a gatekeeper and communication hub for the CFO/COO
  • Manage incoming/outgoing communications, including email, calls, and correspondence
  • Prepare, edit, and format executive-level documents, reports, and presentations
  • Filter and summarize key information for executive decision-making
  • Schedule, coordinate, and support meetings, including agendas and notes when needed
  • Track expenses, assist with budget items, and support invoice processing
  • Partner with internal teams to support project coordination and follow-ups
  • Act as a liaison between the executive team and internal/external stakeholders
  • Conduct research and prepare briefs to support strategic decisions
  • Maintain strict confidentiality with sensitive company and financial information
  • Support occasional personal tasks tied to executive workload efficiency
  • Handle additional ad hoc projects as business needs evolve
