We are looking for an Executive Assistant who operates at a high level: someone who anticipates, organizes, communicates clearly, and keeps things moving. This role sits at the centre of executive operations and directly supports senior leadership. This is not a passive administrative role—it requires ownership, sound judgment, and consistent follow-through. Requirements

  • Formal training in executive or administrative support
  • Experience supporting senior leaders in complex environments
  • Strong proficiency with Microsoft Office and business systems
  • High level of discretion and professionalism
  • Excellent written and verbal communication skills
  • Strong organizational and time management abilities
  • Ability to manage competing priorities independently
  • Adaptable, positive approach to change
  • Valid driver’s license required

Nice To Haves

  • Experience with HR systems such as Dayforce is an asset

Responsibilities

  • Manage a complex, shifting executive calendar with strong judgment and foresight
  • Coordinate meetings end-to-end: scheduling, materials, logistics, follow-ups
  • Prepare concise briefings so leadership is ready for every engagement
  • Support travel planning with attention to detail and efficiency
  • Track priorities, decisions, and action items across stakeholders
  • Act as a central hub for information, requests, and scheduling
  • Manage incoming correspondence and ensure timely, appropriate responses
  • Draft clear, professional communications, reports, and presentations
  • Maintain strong relationships with internal teams and external partners
  • Keep documentation accurate, organized, and accessible
  • Maintain confidentiality at all times
  • Support day-to-day office operations and administrative needs
  • Assist with team initiatives and engagement activities
  • Manage executive expenses and reconciliation
  • Support financial documentation and reporting processes
  • Maintain structured filing and tracking systems
  • Operate corporate vehicle as required to support organizational and operational needs
  • Perform additional duties as required
