About The Position

Health Forward Foundation is seeking an Executive Assistant to provide administrative and governance support to Executive Leadership Team members, particularly the Chief Financial Officer (CFO) and Chief Investments Officer (CIO). This role is crucial for managing confidential matters with professionalism and discretion, serving as a central point of contact for diverse stakeholders including the Board of Directors, Community Advisory Committee (CAC) members, visitors, external partners, and internal colleagues. The Executive Assistant must demonstrate an advanced ability to identify internal and external intersections and opportunities, exercise prudence in addressing them, and maintain a high degree of decorum. The foundation's purpose is to support and build inclusive, powerful, and healthy communities characterized by racial equity and economically just systems, aiming to achieve health equity and secure a fair and just region through leadership, advocacy, and resources. They support direct services and systems change for healthy people, community power, and equitable and just places through grant funding, advocacy, and leadership, partnering with community-based and cross-sector organizations. Their work includes supporting equitable health services, advancing safe and affordable housing, broadband access, amplifying community power through civic engagement, and increasing the effectiveness of small community-based nonprofits. They also support organizations in practicing race equity, changing narratives, and amplifying personal experiences. Health Forward was established in 2003 and serves specific counties in Missouri and Kansas. The foundation is governed by a 21-member board and managed by approximately 40 employees. Requirements

  • Demonstrated experience providing executive support in a fast-paced, service-oriented environment.
  • Adept in forecasting and solutioning needs in a self-directed yet collaborative manner, particularly in applying or gathering intelligence to know when and how to engage other leaders on points of intersection.
  • Results-oriented professional with demonstrated initiative to deliver with excellence.
  • Demonstrated knowledge and experience with the MS Office Suite including a higher level of proficiency in AI editing tools and presentation software (like PowerPoint).
  • Exceptional organizational skills and demonstrated success with managing multiple tasks including attention to detail and follow through.
  • Project management skills.
  • Excellent written and verbal communication and interpersonal skills, demonstration of professionalism and ability to connect with respect regardless of position or socioeconomic status.
  • The ideal candidate is proactive and organized with a reputation for excellence, persistence, flexibility, dependability, collaboration, and teamwork.
  • Must possess ability to remain calm in the face of changing priorities and work with a sense of urgency.
  • Demonstrated curiosity about health, equity and the conditions and climate related to equity work.
  • Minimum 7 years of combined education and/or related progressive work experience.

Nice To Haves

  • Experience related to finance, accounting and/or investments is preferred.
  • Additional skills and experience with office automation equipment, including phones, computers and related software, database reporting, etc. are preferred.

Responsibilities

  • Manage and prioritize all administrative and operational tasks and duties associated with the operations of Executive offices to ensure they are conducted in a professional, thorough, and efficient manner.
  • Complex calendaring/time management, meeting agenda development, and travel management for executive leadership team and the board of directors upon request.
  • Project management (i.e., managing complex logistics, coordinating strategic initiatives, and integrating workstreams from various functional areas).
  • Reporting, analysis, and creating visual presentations.
  • Tracking progress on departmental operations, filing expense reports, etc.
  • Document management and records retention compliance.
  • Provide Governance Coordination in support for the Board of Directors, CAC, and respective committees.
  • Perform Governance administrative functions (i.e., meeting notices, meeting minutes, doodle polls, communications coordination, and meals coordination, etc.) as requested.
  • Complete processes for Governance (i.e., agenda management, meeting material assembly and distribution, etc.).
  • Knowledgeable of governance timeline and tasks required to support Board and Committee activities.
  • Ensure all communication is accurate, timely, and demonstrates a high degree of professionalism.
  • Communications to the Foundation that need guidance reach the right associate in a timely manner.
  • Partner with administrative support colleagues to manage the reception of visitors and represent the organization in a professional and friendly manner.
  • Partner with administrative support colleagues to perform general office administrative duties for the Executive Leadership Team and Governance meetings (e.g., assist in meeting set-up, A/V preparation, refreshments, meeting space and kitchen clean up, etc.).
