About The Position

The Executive Assistant to the Chief Executive Officer (CEO) of Five Rivers MetroParks (FRMP) provides high-level administrative support, playing a key role in ensuring the efficient and effective operation of the CEO’s office. This role involves managing the CEO's calendar, coordinating travel, acting as a primary point of contact, conducting research, serving as a liaison to the Board of Park Commissioners, managing public records, supporting budget preparation, and coordinating executive meetings. The Executive Assistant also reviews agency contracts, implements administrative procedures, and analyzes financial records. Additionally, this position provides public service, collaborates across functional areas, and may serve as a volunteer staff lead.

Requirements

  • Bachelor’s degree in Business, Public Administration, or related field
  • Seven years of experience in executive administrative and/or management supporting a public agency
  • Supervision of others
  • Valid Driver's License which meets FRMP insurance carrier guidelines.
  • Must successfully complete a background check and drug screening test prior to employment.

Responsibilities

  • Provides administrative support for the CEO by preparing correspondence, documents, meeting agendas, and reports.
  • Answers and screens telephone calls.
  • Schedules meetings and special events.
  • Proofreads emails, documents, and correspondence.
  • Collects and coordinates background information and materials for meetings, reports, speeches, and correspondence.
  • Conducts research, analyzes findings, prepares reports, recommendations, and presentations for the CEO’s office.
  • Manages the CEO’s calendar, schedules meetings, and coordinates travel arrangements.
  • Prepares and reviews reports, presentations, and correspondence for the CEO.
  • Acts as the primary point of contact between the CEO and internal/external stakeholders.
  • Conducts research, analyzes data, and provides insights to support executive decision-making.
  • Serves as a liaison to the Board of Park Commissioners, preparing board materials and coordinating meetings.
  • Assists the CEO with meeting management and performs other duties to facilitate the meeting.
  • Manages and maintains the official Board of Park Commissioner records, including board meeting minutes, resolutions, and the board member handbook.
  • Serves as the organization’s Public Records Officer, managing and ensuring the agency’s compliance with State regulations.
  • Conducts annual records commission meetings, maintains the agency-wide records center, reviews and updates the agency’s records disposal schedule, arranges destruction of records in compliance with the records disposal schedule, answers public records requests, and trains staff on public records retention and disposal requirements.
  • Prepares and supports the annual budget preparation, financial tracking, and expense management for the CEO and the CEO’s office budget.
  • Plans and coordinates executive meetings, including preparing agendas and taking minutes.
  • Reviews and routes all agency contracts for electronic signatures and files executed documents in the records center.
  • Serves as a member of the Executive Leadership Team.
  • Coordinates the implementation of new and revised administrative procedures.
  • Analyzes and prepares financial records and paperwork for the CEO’s office.
  • Works assigned schedule, has regular and punctual attendance, and works outside of normal schedule as needed.
  • Provides service to the public by responding to questions, helping, and providing information.
  • Collaborates across functional areas to provide information to support the effective operation of the agency.
  • Serves as a volunteer staff lead.
  • Performs other duties as assigned.
