About The Position

We are seeking a strategic, proactive Executive Assistant to support two senior executives: our Chief Medical & Scientific Officer and Executive Vice President of Advanced Technologies, and our Chief Risk Officer. This role serves as a trusted operational partner, helping leaders manage complex priorities, drive execution across the organization, and maximize organizational effectiveness. This position goes beyond traditional administrative support. The Executive Assistant will operate as a force multiplier—connecting priorities, driving follow-through, anticipating needs, and enabling leaders to focus on the highest-impact work.

Requirements

  • Bachelor’s degree preferred or equivalent professional experience.
  • 8+ years of experience supporting senior executives in dynamic, growth-oriented environments (public-company or scale-up experience preferred), including executive support within healthcare, clinical or scientific environments.
  • Demonstrated experience supporting risk, legal, finance, or audit leaders preferred.
  • Proven ability to operate with discretion, foresight, and judgment in high-visibility or confidential contexts.
  • Information synthesis: Able to rapidly distill complex scientific, clinical, business, and operational information into concise executive summaries, presentations, and action plans.
  • Strategic mindset: Connect details to strategy; anticipate needs before they surface.
  • Operational mastery: Drive clarity through structure: calendars, deliverables, and meeting hygiene.
  • Experience with Project Management is strongly preferred.
  • Communications excellence: Clear, concise, and professional writing; can represent leadership voice effectively.

Responsibilities

  • Serve as a true partner to executives, helping manage priorities, align calendars to strategic milestones, and create space for high-impact work.
  • Anticipate needs and proactively address issues before they arise, ensuring leaders stay ahead of key decisions and commitments.
  • Prepare executive-level materials with clear decision framing, context, and intent, including Board and external-facing content.
  • Partner with business leaders to track deliverables end-to-end, ensuring follow-through, accountability, and momentum on initiatives.
  • Operate with a chief-of-staff mindset — synthesizing priorities across the leaders’ own organization, driving follow-through on commitments, and ensuring accountability across multiple teams and stakeholders.
  • Coordinate leadership across the Chief Medical and Scientific Officer’s organization, including Advanced Technologies, Medical Affairs, Scientific Affairs & Clinical Research Operations, and Medical Safety & Clinical Oversight.
  • Support preparation for executive leadership meetings, business reviews, Board discussions, investor-facing activities, and strategic planning sessions.
  • Maintain executive dashboards, action trackers, decision logs, and operating reviews to ensure visibility into priorities and commitments.
  • Serve as a central coordination point for CMO/CSO strategy and execution across major scientific meetings (HRS, ACC, AHA, ESC, and others), and event planning and coordination for internal team meetings and external industry events.
  • Support functional and medical/scientific engagements including planning of offsites, conferences, advisory boards, investigator meetings, and publications.
  • Interface comfortably and warmly with physicians, scientists, and KOLs with professionalism and discretion, in many ways service as the first encounter clinicians may have with the company.
  • In partnership with the Chief Risk Officer, support coordination of Board committee activities, compliance reporting, audit readiness efforts, risk tracking, and governance processes.
  • Support planning, facilitation and preparation of Audit Committee, Nominating & Governance Committee, including agenda topics, materials coordination, and action tracking.
  • Support documentation and tracking of compliance related projects, to include dashboarding of indicators and metrics.
  • Assist with organization of Rhythm for a Reason philanthropic events at iRhythm office locations.
  • Collaborate with leader to develop Risk, Compliance, and Audit slide presentations.
  • Draft and edit business correspondence, announcements, and internal communications reflecting the voice and intent of the leader and function supported.
  • Foster clear, consistent communication channels between leadership and teams to enable transparency, clarity, and trust.
  • Steward the organization and operation of key business functions led by the executive, including governing mechanisms, business review, and other cross-functional activities.
  • Leverage AI-enabled workflows to prepare meeting briefs, summarize discussions, maintain action registers, draft communications, and improve executive productivity.
  • Create and maintain reusable operating systems, templates, and knowledge repositories that improve organizational effectiveness and reduce administrative friction.
  • Design and manage a strategic calendar, not just schedule meetings. Protect time for deep work, preparation, travel, recovery, and strategic thinking.
  • Apply judgment to sequencing high stakes meetings and creating buffers.
  • Manage complex travel and event logistics with a focus on strategic prioritization and efficiency.
  • Track commitments from meetings and emails using a visible “open loops” system (agendas, minutes, action tracking, decision logs).
  • Use tools such as Teams Planner, Smartsheet, SAP Concur, and CoPilot/AI to streamline administrative tasks and manage deliverables efficiently.
  • Support leaders by translating priorities into simple plans and tracking mechanisms, monitoring progress, and flagging risks or gaps to enable informed decisions.
  • Build trusted relationships across iRhythm to facilitate collaboration and seamless information flow.
  • Partner with other Executive Assistants to establish consistent standards, share best practices, and coordinate cross-functional support.
  • Act as a connector across teams, ensuring day-to-day execution aligns with enterprise goals and leadership priorities.
  • Serve as a key liaison with external, auditors, and internal compliance partners as appropriate.
  • Coordinate cross-functional preparation for audits, inspections, Board reporting, or compliance milestones.
