This Executive Assistant role provides day-to-day support to management, ensuring smooth and efficient operations. It involves managing schedules, coordinating meetings, and tracking expenses for Vice Presidents. The assistant is responsible for preparing reports, organizing travel arrangements, and maintaining/updating databases and SharePoint sites to ensure data accuracy, organization, and accessibility. Additionally, the role may include assisting in project management tasks, liaising with other departments, and ensuring deadlines are met. This position typically supports two or more Vice Presidents.

Requirements

Responsibilities

  • Manage the executive's calendar and daily work.
  • Perform general administrative duties such as travel, expenses, department distribution list, purchase orders, and ordering supplies in accordance with standard procedures and practices.
  • Engage and collaborate with the immediate team and internal partners.
  • Act as a delegate for the executive when reviewing and approving expense reports.
  • Proactively identify opportunities to increase efficiency and improve processes, anticipating the needs of the executive and team.
  • Collaborate regularly with peers and internal partners while developing and maintaining strong relationships.
  • Coordinate meetings.
  • Track expenses on behalf of the VPs.
  • Prepare reports.
  • Organize travel arrangements.
  • Maintain and update databases and SharePoint sites, ensuring data accuracy, organization, and accessibility for stakeholders.
  • Assist in project management tasks, liaising with other departments, and ensuring that deadlines are met.
