About The Position

Ambience is seeking an Executive Assistant to serve as the operational backbone for the Go-to-Market (GTM) organization, supporting the Chief Revenue Officer (CRO) and other GTM leadership. This role involves owning calendar and meeting operations, travel and event logistics, information synthesis, and communication flow. The ideal candidate will excel at the fundamentals of executive support, demonstrate proactivity, independent thinking, and possess strong judgment. Over time, the role will expand to include coordination across the GTM team, meeting preparation and follow-up, project tracking, Notion workspace management, and material formatting. The position requires a high degree of trust, discretion, and the ability to work effectively with a primary partner in the Chief of Staff, while also collaborating with various GTM and company stakeholders.

Requirements

  • 3+ years of experience supporting a senior executive, preferably in a fast-paced or venture-backed company.
  • Experience supporting a sales or GTM leader is a strong plus.
  • Reliability, attention to detail, and speed.
  • Proficiency in calendar management, travel logistics, and communications.
  • Strong judgment to solve problems independently and know when to escalate.
  • Proactive approach, going beyond the immediate request.
  • Ability to absorb context quickly, retain preferences, and build a mental model of executive thinking.
  • Comfort with written communication, proactive pings, and minimal live syncs (async comfort).
  • Composure under pressure, handling calendar overhauls, travel emergencies, and shifting priorities without drama.
  • Comfort working through a proxy (e.g., a Chief of Staff) as the primary day-to-day partner.
  • Familiarity with Notion, Slack, Google Workspace, and HubSpot is a plus.
  • Comfort using AI tools (Claude, ChatGPT) for synthesis and formatting.

Responsibilities

  • End-to-end calendar management with strong judgment, including de-conflicting, prioritizing, and making decisions about meeting scheduling based on business context.
  • Owning logistics for conferences, client meetings, and travel, including building itineraries, anticipating needs, and handling last-minute changes, potentially after hours.
  • Synthesizing information from various sources (Slack, meeting notes, HubSpot data) to prepare for meetings, flagging open decisions, owner gaps, and follow-ups.
  • Drafting weekly briefings for leadership to facilitate quick understanding of key information.
  • Triaging inbound messages with speed and judgment, routing them to the appropriate person, and drafting communications in the CRO's voice when necessary.
  • Supporting GTM leadership meetings and all-hands by partnering with the Chief of Staff on agendas, pre-meeting input, and post-meeting follow-up.
  • Ensuring continuity in recurring meetings by maintaining organized information and processes.
  • Quality assurance of decks and documents before they reach leadership, cleaning up AI-generated outputs, and performing light proofreading and formatting.
  • Building basic trackers and spreadsheets as needed.
  • Refreshing and organizing the commercial team's Notion workspaces, building landing pages for initiatives, and maintaining structure.
  • Operating with extreme ownership and accountability, fixing what is broken, and driving work to completion with meaningful autonomy.
