Come grow with us! We are seeking an experienced Executive Assistant to provide full administrative support to executive level leadership. The ideal candidate will have prior experience operating within a corporate office environment. This is a full-time in office position. This role is on-site at our Carmel, Indiana corporate office.

Requirements

  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Bachelor’s degree in business administration or related field preferred.
  • At least four years of related experience within a corporate office required.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Responsibilities

  • Provide high-level administrative support and assistance to the Executive and other assigned leadership staff.
  • Perform clerical and administrative tasks including drafting letters, managing calendars, memos, invoices, reports, and other documents.
  • Prepare PowerPoint presentations, as needed.
  • Running reports from Nielsen system.
  • Arrange travel and accommodations for executives.
  • Manage calendars, schedules meetings on behalf of executives, taking notes and recording minutes.
  • Manage all vendor and contractor relationships including scheduling & project management
  • Manage Sample Room and Swag Closet
  • Initial contact for all legal and financial inquiries
  • Receives incoming communication or memos, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
