About The Position

FlexStaff is hiring an experienced Executive Administrative Assistant for a client that represents securities firms, banks, and asset management companies. The role supports five managing directors and requires adaptability to different work styles. It is 100% onsite in the financial district. If the position becomes permanent, there may be an opportunity to work remotely one day per week. The schedule is a nine-hour workday with a one-hour lunch. Start times are flexible, such as 8:30 a.m.–5:30 p.m. or 9:00 a.m.–6:00 p.m. Compensation is $39.50 per hour, with eligibility for overtime. The role is temp-to-hire.

Requirements

A bachelor’s degree or at least 3 years of executive administrative support experience.
Demonstrated professionalism and confidentiality in all communications.
Ability to adapt to different work styles.
Excellent clerical, organizational, time-management, written communication, and verbal communication skills, with attention to detail and accuracy.

Responsibilities

Support five managing directors with complex calendar management and travel arrangements.
Organize and coordinate virtual and in-person member meetings, including maintaining rosters; drafting, proofreading, and distributing materials; scheduling rooms and virtual meetings; ordering food; and maintaining attendance and building security lists.
Assist with planning and logistical coordination and support for occasional events involving members, regulators, and policymakers.
Prepare and manage timely submission of monthly expense reports, vendor work packages, and internal payment processes.
Establish and maintain effective, collaborative, and cooperative professional business relationships throughout the organization.
