About The Position

The Corporate Strategy team seeks an experienced Executive Administrative Assistant to support the Vice President of Corporate Strategy and Corporate Strategy Directors. The selected candidate for this role will successfully execute the job duties described below. This role involves managing complex calendar engagements, preparing and reconciling expense reports, coordinating domestic and international travel, and handling sensitive information with the highest level of confidentiality. The position requires independent work, discretion, tact, and forward-thinking in managing activities for the Vice President. Responsibilities include planning and executing customer visits, meetings, company events, and conferences, ensuring all logistics are well coordinated. The role also manages logistics and protocol for internal team meetings, customer meetings, and strategy meetings across the enterprise. The Executive Assistant will exhibit a professional interface with colleagues, employees, leaders, and customers, and manage logistical requirements for senior leaders visiting LM sites. Initiative, discretion, and tact are expected in managing email, telephone calls, and other requests. The role involves assuring administrative detail on all projects, updating and status reporting on delegated tasks to ensure progress to deadlines, and multitasking effectively to handle various administrative tasks and ad-hoc projects. Support will be provided to the Director of Enterprise Strategic Studies and the Director of Enterprise Growth Strategy. The position also includes managing the scheduling of rooms and meetings across various classified networks. Business travel may be required occasionally to support the Vice President of Corporate Strategy.

Requirements

  • 5+ years of recent and demonstrated extensive experience providing executive administrative assistant support to VP level clients
  • Strong written and verbal communication skills
  • Sound decision making and prioritization ability, with ability to problem solve complex issues
  • Ability to work independently and collaborate in a dynamic, changing environment
  • Excellent organizational skills and attention to detail
  • Excellent calendar management skills including the ability to coordinate complex executive meetings
  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint and Teams; Travel and Expense Reporting system
  • Discretion while handling sensitive information with the ability to maintain confidentiality
  • Demonstrated ability to act with diplomacy and professionalism with customers, colleagues, and leaders
  • Ability to handle a variety of assignments at one time and complete assignments accurately and on time

Nice To Haves

  • Demonstrated ability to support team in with sensitive and critical meeting coordination related to Corporate ELT, senior leadership teams in business areas or functions, or strategy teams across enterprise
  • Knowledge of classified networks and proficiency in scheduling classified meetings, or ability to learn. (Does not require a security clearance)
  • Demonstrated proficiency in preparing reports, documents and presentations for executives.
  • Working knowledge of Lockheed Martin policies and procedures
  • Ability to support and operate in a high pace environment and ability to adapt to changes

Responsibilities

  • Manage complex calendar engagements with an understanding of which activities are most important for the appropriate allocation of the VP’s time
  • Prepare and reconcile expense reports and coordinate arrangements and travel plans for domestic and international travel
  • Handle professionally with the highest level of confidentiality sensitive information
  • Work independently, exercise considerable discretion, tact and independent judgment and be forward thinking in managing activities for the Vice President
  • Help plan and execute customer visits and meetings, company events, conferences, and meetings, ensuring all logistics are well coordinated
  • Manage logistics and protocol elements associated with internal team meetings, customer meetings, strategy meetings across enterprise, etc.

  • Manage the logistical requirements for senior leaders visiting the LM sites
  • Demonstrate initiative, discretion, and tact in managing email, telephone calls and other requests
