Requirements

  • Minimum of 5–7 years of Executive Assistant, Administrative Assistant, or related experience supporting senior leaders in a corporate environment; pharmaceutical, biotechnology, or healthcare industry experience preferred.
  • Demonstrated ability to manage highly confidential and sensitive information with professionalism and discretion.
  • Advanced proficiency in Microsoft Office applications, particularly Outlook, Teams, Word, PowerPoint, and Excel; SharePoint experience preferred.
  • Excellent written and verbal communication skills with strong attention to detail.
  • Proven ability to work independently with limited day-to-day supervision while managing multiple competing priorities.
  • Strong interpersonal skills with the ability to build effective working relationships across all levels of the organization.
  • Ability to exercise sound judgment, anticipate needs, solve problems proactively, and make appropriate decisions independently.
  • Flexible and adaptable, with the ability to respond effectively to changing business priorities and schedules with limited notice.
  • Experience supporting a fast-paced, matrixed organization and collaborating across cross-functional teams.
  • Exposure to working within a global business environment is preferred.

Responsibilities

  • Serve as a key administrative and operational partner supporting the Reblozyl and Lymphoma Leadership Team within U.S. Hematology Marketing, helping drive the achievement of business objectives and fostering a high-performing team culture.
  • Provide proactive, confidential executive support to leadership, including management of sensitive information, correspondence, team communications, and business priorities.
  • Manage day-to-day office operations, including telephone coverage, mail and document handling, records management, and ordering/maintaining office supplies, as needed.
  • Provide administrative support for projects, initiatives, and cross-functional activities involving the Reblozyl and Lymphoma teams.
  • Coordinate and organize leadership meetings, team meetings, off-sites, workshops, town halls, and other business events, including agenda development, meeting materials, logistics, minutes, and action-item follow-up.
  • Proactively manage executive calendars, complex meeting schedules, and domestic/international travel arrangements. This includes adjusting calendars to accommodate urgent business needs, resolving scheduling conflicts, prioritizing meeting attendance, and coordinating delegates when necessary.
  • Partner closely with internal and external administrative staff, senior leaders, vendors, consultants, and stakeholders to coordinate complex meetings and business activities.
  • Manage administrative systems supporting daily operations, including Workday, Concur, Microsoft Teams, SharePoint, and other company platforms.
  • Prepare, review, and submit expense reports and reimbursement requests in a timely and accurate manner.
  • Organize and coordinate small- to medium-sized meetings and events, including invitations, venue arrangements, catering, transportation, hotel accommodations, and virtual meeting logistics.
  • Support onboarding activities for new team members and assist with team engagement initiatives, recognition programs, and culture-building activities.
  • Coordinate with other Executive Assistants and Administrative Coordinators to ensure seamless support coverage and partnership across the organization.
  • Assist in the preparation of presentations, reports, dashboards, and other business documents for leadership meetings and strategic reviews.
  • Perform additional duties and special projects supporting the Reblozyl and Lymphoma teams and the broader Bristol Myers Squibb organization, as assigned.
