About The Position

The Executive Assistant provides high-quality executive and administrative support to our C-Suite executives. This role requires consistent in-person presence, sound judgment, and the ability to manage shifting priorities and execute across a broad range of responsibilities with minimal direction.

Requirements

  • Demonstrated and progressive experience supporting executives.
  • Comfortable supporting logistics for executive-level events, board meetings, or conferences.
  • High discretion; ability to manage confidential matters with absolute professionalism.
  • Reliable in-office attendance on designated days, plus flexibility for occasional in-person meetings or events as business needs arise.
  • Advanced proficiency in Microsoft 365 including Outlook, Teams, Word, Excel, PowerPoint and SharePoint.
  • Working knowledge of AI productivity tools (e.g., Microsoft Copilot, ChatGPT, or similar); ability to leverage AI to work faster and smarter.
  • Dependable and consistent, holding a zero-error standard for accuracy, detail, and follow-through across written communications, scheduling, and deliverables.
  • Clear, professional written communication and sound professional judgment.
  • Self-directed, working effectively with limited supervision and applying established processes while using judgment to keep executive and office priorities on track.
  • Comfortable with some ambiguity — anticipates needs, moves without being asked, closes the loop, and makes independent decisions within the scope of the role.
  • Thrives in a collaborative environment and works well with other Administrative Assistants within the organization.

  • Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field
  • Prior experience in a life sciences, biotech, or similarly regulated industry

Responsibilities

  • Manage calendars, scheduling, and domestic/international travel logistics for the executive team, including the CEO.
  • Prepare meeting materials, agendas, and follow-up communications.
  • Triage correspondence and draft routine communications on behalf of executives.
  • Handle sensitive and confidential information with absolute discretion.
  • Manage planning and logistics for annual commercial conferences, including vendor coordination, attendee management, and on-site execution.
  • Coordinate board meetings end-to-end: scheduling, materials preparation, logistics, and follow-up.
  • Manage executive off-sites, leadership meetings, and company events hosted at or organized from the Wellesley site.
  • Process and reconcile expense reports, invoices, and PO submissions.
  • Maintain organized filing systems, records, and administrative databases.
  • Manage special projects and cross-functional initiatives as directed, taking ownership from initiation through completion.
