Position Summary: Sono Bello is seeking a high-impact Executive Assistant who operates as a strategic extension of the Vice President. This role blends executive support, business operations coordination, and leadership communication development. This individual will help drive organizational effectiveness by managing executive workflows, optimizing schedules across professional and personal demands, and developing executive-level presentations that influence decision-making and organizational alignment. This role is ideal for a highly analytical, proactive professional who thrives in fast-paced environments and enjoys turning information into action.

Requirements

  • 7+ years supporting senior executives or leadership teams.
  • Exceptional PowerPoint and executive communication development skills.
  • Strong analytical and organizational capabilities.
  • Demonstrated ability to manage competing priorities in a fast-paced environment.

Nice To Haves

  • Experience coordinating cross-functional business initiatives preferred.
  • Healthcare, aesthetics, or multi-location service organization experience is a plus.

Responsibilities

  • Act as an extension of the Vice President by managing priorities, communications, and workflow optimization.
  • Identify and resolve bottlenecks that impact executive effectiveness.
  • Manage complex, high-volume scheduling across business initiatives, leadership meetings, travel, and personal commitments that affect executive availability.
  • Represent the Vice President in communications and follow-ups with internal and external stakeholders.
  • Lead development of executive presentations, leadership decks, and business updates.
  • Translate operational data, financial metrics, and strategic initiatives into visually compelling and concise presentations.
  • Provide recommendations on messaging flow, content prioritization, and executive storytelling.
  • Ensure materials support strategic alignment across senior leadership teams.
  • Coordinate strategic initiatives and leadership projects.
  • Track KPIs, initiative milestones, and follow-up actions.
  • Support meeting facilitation, including agenda creation, note capture, and action item management.
  • Assist with vendor coordination, expense management, and operational reporting as needed.
  • Build strong working relationships across departments to streamline collaboration.
  • Act as a liaison between leadership teams and operational partners.
  • Maintain high standards of confidentiality, judgment, and professionalism.
