About The Position

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support 2 VPs within RBC's AI Group in Toronto. This is not a traditional administrative role — you will be a critical operational partner helping leaders navigate complex executive relationships, keep a fast-growing team running smoothly, and ensure that preparation and follow-through on high-stakes engagements are never left to chance.

Requirements

  • 3+ years' experience as an executive assistant supporting senior executives in a fast-paced, dynamic environment
  • Exceptional organizational skills with proven ability to manage complex calendars, coordinate across multiple senior stakeholders, and juggle competing priorities independently
  • Strong judgment and ability to anticipate executives' needs — particularly around preparation for high-stakes meetings
  • Comfort operating as a connector across teams — coordinating with direct reports, peer EAs, and senior leaders to keep things moving
  • Exceptional written and verbal communication skills
  • Full proficiency with Microsoft Office and Adobe
  • Collaborative, team-oriented mindset with a "no task too small" attitude and demonstrated initiative

  • Knowledge of relevant RBC policies and procedures (e.g., Workday, expense guidelines, travel policy)
  • Previous experience supporting leaders in technology, consulting, or AI-focused organizations
  • Experience supporting a team that engages regularly with C-suite or EVP+ stakeholders

Responsibilities

  • Managing complex calendars for 2 VPs, including coordinating meetings with senior executives (SVP+) across RBC's Lines of Business and Functions — anticipating scheduling sensitivities and ensuring appropriate prep time is built in
  • Proactively ensuring that relevant team members meet with VPs ahead of senior executive engagements to align on context, materials, and objectives; tracking action items and follow-ups post-meeting
  • Supporting onboarding for new hires, coordinating performance review cycles, organizing team events, and helping maintain the operational rhythm of a growing team
  • Partnering with other EAs across the AI Group and broader RBC to organize discussions, coordinate prep across multiple stakeholders, and ensure seamless logistics for cross-functional meetings
  • Preparing and editing correspondence, presentations, and other documents; handling confidential and sensitive information with discretion
  • Arranging travel and managing expense reporting in line with RBC policies
  • Supporting activities that build team culture — social events, offsites, coffee chats, and other connection opportunities
