About The Position

As an Executive Assistant, you’ll be part of our Corporate IT team working as a hybrid employee. You’ll become a trusted assistant to VP-level executives and provide executive support. This role involves managing calendars, arranging complex travel, handling confidential matters with discretion, managing event planning, submitting expense reports, serving as a delegate in approval systems, managing distribution lists, and working as a partner with the Corporate executive team. You will also handle Ariba Requisitions/Purchase Order requests, set up Zoom webinars, create PowerPoint presentations, compose correspondence, and prioritize conflicting needs. The goal is to streamline functional activities and enable the VP to focus on strategic initiatives. This role requires strong judgment, the ability to balance multiple shifting priorities, and effective communication with leaders and stakeholders.

Requirements

  • Associate degree required; Bachelor’s degree preferred.
  • Minimum 3 years of experience supporting VP-Level Executives, preferably within a global company.
  • Highly Proficient in the Microsoft Office suite of products.
  • Proficient with PowerPoint and DocuSign.
  • Expert-level written and verbal communication skills.
  • Relationship Builder, especially cross-functionally and with Executive Assistants.
  • Demonstrated a proactive approach to problem-solving with strong and independent decision-making capability.
  • Excellent analytical, time-management, and project-management skills.
  • Detail oriented.
  • High degree of confidentiality, integrity and professionalism.
  • Highly resourceful team player, with the ability to also be extremely effective independently.
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.

Responsibilities

  • Become a trusted assistant to VP-level executives and provide executive support.
  • Manage calendar and high volume of meeting requests.
  • Arrange complex domestic and international travel plans and create detailed itineraries.
  • Manage event planning and logistics for several conferences throughout the year.
  • Submit expense reports on behalf of the executive in a timely manner through SAP/Concur.
  • Serve as a delegate in multiple approval systems.
  • Manage Distribution Lists.
  • Work as a partner with the Corporate executive team, anticipating needs and gaps.
  • Handle Ariba Requisitions/Purchase Order requests.
  • Set up Zoom Webinars, run a meeting, advance slides, and invite the right speakers.
  • Create PowerPoint presentations, assist in presentation material, and update organizational charts (PPT).
  • Compose and prepare correspondence that may be confidential.
  • Maintain discretion and confidentiality in all matters in the workplace.
  • Prioritize conflicting needs; handle work expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.
  • Work closely and effectively with the leaders, keeping them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Continually identify opportunities to streamline functional activities while enabling the VP to focus on strategic and business initiatives rather than function logistics.
  • Exercise strong judgment in a variety of situations and maintain balance among multiple shifting priorities.
  • Other ancillary duties as required.
