This is a full-time position located at our corporate headquarters in Jacksonville, FL., and reports to the Director of Human Resources. The Executive Assistant will coordinate operations while providing administrative and clerical support to the CEO and other Executive Team members. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality and speak for the company for matters under your cognizance. A perfect candidate will have exceptional ability to act as a gatekeeper, project coordinator, and communication liaison, ensuring that the executive’s time, focus, and priorities are optimized for maximum organizational impact. The ideal candidate is a strong communicator, highly organized, and comfortable managing multiple initiatives.

Requirements

  • Significant executive support experience, including supporting C-level executives.
  • Ability to pivot at a moment's notice
  • Expert proficiency with Microsoft Office suite.
  • Strong verbal and written communication skills.
  • Exceptional organizational skills and impeccable attention to detail.
  • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, employees, customers, and vendors.
  • Make appropriate, informed decisions regarding priorities and available time.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Able to maintain a high level of integrity and discretion in handling confidential and sensitive information.
  • Excellent judgment is essential.

Responsibilities

  • Complete a broad variety of administrative tasks to assist and facilitate the CEO's ability to effectively lead the organization, including conducting special projects, designing and producing complex documents, reports, and presentations, collecting and preparing information for meetings with staff and outside parties, composing and preparing correspondence, maintaining contact lists, making travel arrangements, and completing expense and mileage reports.
  • Provide sophisticated calendar management for CEO and Executive team and travel arrangements.
  • Prioritize inquiries and requests while troubleshooting conflicts, make judgements and recommendations to ensure smooth day­ to-day engagements.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO and Executive team, including those of a highly confidential or critical nature.
  • Prioritize, determine, and recommend appropriate referral or response, exercising judgement to reflect CEO's goals and company policies.
  • Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Demonstrate having a sense for the issues taking place in the environment and keeping the CEO updated.
  • Anticipate CEO's needs in advance of meetings, conferences, etc.
  • Provide "gatekeeper" role, and facilitate smooth communication between the CEO and staff, demonstrating credibility, trust, and support with the Executive Team.
  • Prepares agendas, schedules, and record minutes for high level meetings.
  • Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.
  • Maintains corporate records, documentation, and files of a complex nature or sensitive files.
  • Uphold the executive's brand and communication style across all interactions, internally and externally.
  • Provide event management support as requested.
  • Provide hospitality to all guests and help to create a welcoming environment.
  • Other projects/duties as assigned for the overall benefit of the organization.
