Requirements

  • 3–5+ years of administrative or executive assistant experience in a fast-paced, high-growth environment
  • Strong proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
  • Proven experience managing complex calendars and coordinating domestic and international travel
  • Exceptional organizational skills with the ability to prioritize and manage multiple tasks effectively
  • Strong communication and interpersonal skills, with the ability to work across all levels of the organization
  • A collaborative mindset and ability to partner cross-functionally in a dynamic, multi-location environment
  • A proactive, service-oriented approach with a focus on anticipating needs and delivering high-quality support
  • High level of discretion and professionalism when handling confidential information
  • A strong sense of ownership and accountability, with a “no task is too big or too small” attitude

Responsibilities

  • Manage complex, high-volume calendars in Microsoft Outlook, including scheduling across senior stakeholders and proactively resolving conflicts
  • Coordinate logistics for meetings and events, including conference space, catering, and communication with attendees
  • Plan and execute domestic and international travel, ensuring smooth itineraries and end-to-end logistics
  • Prepare and process expense reports in alignment with T&E policies, ensuring accuracy and compliance
  • Create presentations, reports, and organize data to support leadership priorities and decision-making
  • Support onboarding for new team members by coordinating tools, systems access, and resources
  • Partner with other Executive Assistants to provide team coverage and collaborate on broader support needs
  • Act as a key point of contact, representing leadership with polished, professional communication internally and externally
  • Anticipate needs, prioritize competing demands, and handle sensitive information with discretion and sound judgment
