About The Position

Pierson Wealth Management is seeking a highly capable Executive Assistant to support our founder and help keep the firm running smoothly day to day. This person will manage the founder's inbox, coordinate her calendar across personal commitments, travel, and client meetings, keep her follow-ups moving so nothing falls through the cracks, and serve as a warm, polished, in-office presence for clients and team members alike. Our founder travels for business a few weeks out of every month, so this role requires a genuine self-starter, someone who doesn't need constant oversight to know what to do next. The right person manages her own desk, anticipates what the founder needs, and keeps the office running smoothly whether the founder is in the room or on the road. This role blends true executive support with the client-facing hospitality that shapes how Pierson Wealth Management feels to the people who walk through the door. It is a good fit for someone who is discreet, exceptionally organized, independent, and energized by responsibility.

Requirements

  • 3+ years of experience as an Executive Assistant, Personal Assistant, or similar role supporting a senior leader or Advisor
  • Proven experience managing email correspondence and calendars on someone else's behalf
  • Background in hospitality, client service, or office management preferred
  • Experience in a wealth management or financial services environment a plus
  • Exceptional follow-through; closes loops, stays on top of details, and finishes what they start
  • Highly organized and responsive, able to manage multiple requests while maintaining composure and quality
  • Discreet and trustworthy with confidential and sensitive information
  • Warm, engaging, and polished with clients, guests, and colleagues
  • Resourceful and proactive; figures out the next right step independently without being told
  • Comfortable working with a high degree of independence, particularly while the founder is traveling
  • Dependable and consistent, with a strong in-office presence and the reliability this role requires
  • Excellent written and verbal communication skills
  • Comfort using business systems and digital tools required; Salesforce or a comparable CRM or workflow platform preferred
  • Proficiency with AI tools such as Claude, ChatGPT, or Microsoft Copilot to improve productivity, communication, and workflow efficiency

Responsibilities

  • Manage the founder's email inbox: triage messages, draft and send responses, flag priorities, and ensure timely follow-up.
  • Proactively remind the founder of pending follow-ups, deadlines, and commitments so nothing falls through the cracks.
  • Coordinate the founder's calendar across client meetings, personal commitments, and travel.
  • Handle confidential client and business information with sound judgment and discretion.
  • Operate independently and keep priorities moving without close oversight, especially during the weeks each month the founder is traveling.
  • Plan and execute firm events from start to finish, including event promotion and logistics.
  • Oversee office readiness and presentation, including guest reception, supplies, and vendor coordination.
  • Receive and distribute incoming packages and mail; manage outgoing mailings.
  • Support internal meetings, client gatherings, and special events with strong preparation, calm execution, and attention to detail.
  • Help create a client experience that feels warm, thoughtful, organized, and personal from the moment someone walks through the door.
  • Serve as a dependable in-office presence who creates consistency and ease across the team's daily operations.
  • Support the firm's client-facing hospitality with a polished, professional demeanor in every interaction.
  • Use technology with confidence to manage workflows, communication, and administrative tasks.
  • Organize information across multiple priorities and keep the founder focused on what matters most.
  • Close the loop on requests, ensuring commitments are honored and details are not dropped.
  • Provide supporting assistance across payroll, taxes, marketing, and benefits administration as needed; these are not areas of primary ownership.
