Requirements

  • 2 years of college or equivalent preferred.
  • Minimum of 5 years experience in executive office.

Responsibilities

  • Provides direct secretarial support to the Chief Operating Officer and/or Vice President.
  • Contributes to the smooth operations of the executive office by personally providing service to other executives when their respective assistant is on vacation or out ill as necessary.
  • Makes minor decisions on administrative activities as needed using good judgment and common sense.
  • Handles situations with administrators, co-workers and patients, while using discretion and common sense.
  • Orders office supplies and dietary supplies taking monthly turns with the other secretarial staff but oversees all of the ordering to be certain that an adequate supply level is kept.
  • Reads and understands all paperwork that comes across desk to enable more effective working relationships with Chief Operating Officer and/or Vice President.
  • Opens all incoming mail and arranges in a manner acceptable to Chief Operating Officer and/or Vice President.
  • Uses discretion and good judgment when receiving confidential mail and appropriately distributes mail not required to go to the COO and/or VP.
  • Independently prepares check requests and purchase requests obtaining the necessary approvals and correct account coding.
  • Determines dietary requirements for meetings, if any, places order and follows through to be certain that all preparations are completed.
  • Maintains the highest level of confidentiality at all times never deviating from this standard.
  • Establishes and maintains effective interpersonal relationships with co-workers, other members of hospital departments and members of the Board of Trustees.
  • Independently prepares check requests for signature obtaining the appropriate signatures and coding as necessary.
  • Participates in the office rotation of ordering supplies (dietary and office), maintaining appropriate levels of stock and inform co-workers of low stock levels when it is their month to do the ordering.
  • Schedules interviews for candidates for executive positions.
