About The Position

The Executive Assistant provides high-level administrative and strategic support to the President, while also supporting four Senior Vice Presidents and interacting regularly with Executive Vice Presidents. This role is central to the effective operation of the Office of the President, requiring exceptional judgment, discretion, organizational skill, and the ability to manage complex priorities across a senior leadership team.

Requirements

  • Minimum of 7–10 years of progressive experience providing executive-level support to a President, CEO, or equivalent senior leader.
  • Demonstrated experience supporting multiple senior executives simultaneously in a complex organizational environment.
  • Proven ability to manage highly complex calendars, competing priorities, and confidential matters with discretion and sound judgment.
  • Advanced proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) and related office productivity tools.
  • Experience coordinating domestic and international travel, including multi-city itineraries and executive-level logistics.
  • Strong written and verbal communication skills, with the ability to draft clear, professional correspondence and briefing materials.

  • Must be eligible to meet requirements for Canadian Controlled Goods Program (CGP), U.S. International Traffic in Arms Regulations (ITAR) and Canadian government security clearances.

Responsibilities

  • Serve as the primary point of contact for the President’s office, managing interactions with internal and external stakeholders.
  • Coordinate closely with Executive Vice Presidents to manage requests for the President’s time and attention, ensuring appropriate prioritization and preparation.
  • Facilitate the flow of information to and from the President, ensuring issues requiring consideration are clearly framed, well-documented, and addressed in a timely manner.
  • Provide executive-level administrative support to four Senior Vice Presidents, including calendar coordination, meeting preparation, travel arrangements and follow up.
  • Manage the President’s calendar, balancing priorities, internal leadership needs, external commitments, and personal obligations.
  • Assess and prioritize meeting and briefing requests, exercising sound judgment and diplomacy.
  • Coordinate scheduling across multiple senior leaders to enable efficient decision-making and alignment.
  • Prepare briefing materials, agendas, and background documentation in advance of meetings.
  • Establish and maintain office systems and processes for correspondence, records, meeting materials, and follow ups.
  • Track action items and decisions arising from meetings, ensuring appropriate follow-through and accountability.
  • Manage all aspects of the President’s travel arrangements, including flight, ground transportation, accommodations, itineraries, and required documentation.
  • Act as a trusted liaison between the President, SVPs, EVPs, and other stakeholders. Handle highly sensitive, confidential information with absolute discretion.
  • Ensure consistency, professionalism, and responsiveness in all communications issued from the Office of the President.
