As an Executive Assistant, you will provide executive-level administrative support to the VP of Financial Risk Management while partnering with the Corporate Actuarial community to support recruiting efforts, manage complex AVP calendars, and drive overall operational efficiency. This role requires discretion, judgment, and the ability to manage complex scheduling, communications, and materials that influence large portions of the enterprise, especially within their business. Executive Assistants anticipate leader needs, act as liaisons with key internal and external partners, and ensure organizational priorities are executed efficiently and effectively. They work with confidentiality, influence, and collaboration while supporting a high level of complex scheduling and materials. Supports senior level SCBU or BU leaders who are driving strategy and operational excellence within their function or region. This role requires heavy cross-functional coordination and collaboration and is empowered to manage administrative priorities quickly and efficiently. This work may include managing all aspects of a leader(s) schedule including: responding to all invitations and requests, independently making decisions of priority on behalf of the leader(s) supported due to their understanding of their involvement, what the business needs are, as well as key stakeholders. Negotiates with others to find the best date/time options. Anticipates and recommends required and optional attendees. Proactive meeting management/coordination. Facilitates communications on behalf of the leader(s) supported to the department or team, creates/maintains distribution lists. Conveys a strong presence while representing their senior leader(s) in communications and interactions with key stakeholders, as well as acts as a liaison to their senior leader(s). May facilitate and attend meetings/events, and/or lead special projects. Actively collaborate with peer administrative teams across the enterprise to ensure seamless information flow and timely issue resolution. Incumbents in this position can articulate their opinions and hold crucial conversations while making level-headed decisions in a fast and fluid environment that are purposeful and intentional in the face of change, workplace conflict, and adversity. Responsible for drafting agendas and collaborating with key stakeholders to ensure alignment with meeting objectives. This includes incorporating related emails, prior meeting highlights, action items, and discussions. Identify presenters and attendees, collaborate with stakeholders to identify area of focus. Seek and distribute related meeting materials. The support is complex and ranges from global scheduling, board prep, sensitive data including financial information, etc. Make recommendations on the most efficient and effective way for the leader(s) supported to organize their work. Connect multiple channels of information/communications together to make assessments and assist in prioritizing information for the leader(s). May be involved in a variety of business-value driven department or business-wide projects of complex nature tied to strategy and business plans with broader organizational impact.
