About The Position

The Executive Assistant helps Clearwater run smoothly by supporting leadership and maximizing their productivity. You'll act as a trusted right hand to senior executives — managing complex calendars, travel, and communications, while also helping drive key projects and events across the business. Requirements

  • 2+ years of experience supporting multiple senior executives simultaneously
  • Excellent verbal and written communication skills
  • A professional, mature demeanor and the ability to work effectively with a wide range of personalities
  • Strong planning, prioritization, and time management skills
  • Experience with international travel booking and visa requirements
  • Proficiency in MS Office Suite
  • Sharp attention to detail, discretion, and the ability to manage confidential information
  • A high-energy, curious mindset with a genuine passion to learn and contribute

  • Bachelor's degree in business administration, communication, or a related field

Responsibilities

  • Serve as primary point of access for your executive(s), managing complex calendars — including vetting, prioritizing, and recommending how time is spent — and ensuring they're fully prepared for every meeting
  • Coordinate end-to-end travel, including air, ground transportation, hotels, and international travel documentation (visas, etc.)
  • Draft internal and external communications on behalf of your executive, and manage the flow of information across all levels, internal and external
  • Track key deliverables, follow up on outstanding items, and ensure requests are handled with the right level of urgency
  • Manage expense reporting, including submitting receipts and processing expense statements in a timely manner
  • Manage projects, meetings, and large-scale events from budget planning through logistics (e.g., company-wide town halls, the annual company party)
  • Assist with annual calendar planning and help prioritize business activities across the org
  • Process expense reports, assist with budgets and headcount planning, and help resolve AP/AR issues
  • Partner with Facilities, IT, and Security to troubleshoot logistical issues
  • Support full-cycle executive recruiting — scheduling interviews, coordinating between hiring teams and candidates, and assisting with onboarding
