Requirements

  • 3–7 years of experience in an Executive Assistant, Senior Executive Assistant, or Executive Coordinator role
  • Demonstrated experience supporting senior leadership directly; you have worked at this level before
  • Experience planning and coordinating events, travel, and executive logistics with minimal supervision
  • Proficiency in Microsoft Office 365: Outlook, Word, Excel, PowerPoint, and SharePoint
  • Strong written and verbal communication; comfortable engaging with vendors, clients, and all levels of the organization
  • Highly organized, with strong follow-through and attention to detail

Nice To Haves

  • Comfort using AI tools such as Claude, Microsoft Copilot, or similar to enhance personal productivity and streamline day-to-day tasks is an asset
  • Experience in construction, trades, or a field-focused environment is an asset
  • Familiarity with BambooHR, Spectrum Viewpoint, or similar platforms is a bonus

Responsibilities

  • Managing calendars, scheduling, and coordination for the senior leadership team, including proactively flagging conflicts and priorities before they surface
  • Arranging travel for company events: flights, accommodations, rental vehicles, and restaurant reservations for golf tournaments, ski trips, fishing trips, and client lunches
  • Sourcing, organizing, and distributing tickets for professional sporting and entertainment events on behalf of the executive team
  • Supporting the preparation of executive presentations, reports, and materials
  • Managing communication with select vendors and service providers on behalf of the executive team
  • Scheduling and coordinating recurring leadership meetings, including monthly manager report-outs
  • Ensuring the office runs smoothly, coordinating with front desk staff on supplies, coffee, meeting rooms, and building readiness
  • Overseeing building access, fobs, and security passes
  • Managing the office budget, tracking spending, flagging variances, and aligning with approved plans
  • Coordinating building maintenance needs as they arise: repairs, warranties, and cleaning services
  • Ensuring client-facing spaces are consistently maintained and ready for guests
  • Building and maintaining a company events calendar, planning and executing internal gatherings, crew barbecues, lobster orders, and seasonal events throughout the year
  • Leading the operational coordination of company and client-facing events, some involving coordination only and others requiring on-site attendance, including the Season Kickoff Event, golf tournaments, the Christmas party, client dinners, and Rogers Place events
  • Working alongside the marketing team on event execution: you coordinate the logistics, marketing provides creative and brand direction
  • Coordinating work anniversaries, personal milestones, and celebratory gifts on behalf of the organization, working alongside the marketing team on design
