Peterson is seeking an experienced Executive Assistant to join our Corporate team at our Head Office in Vancouver. Reporting to the Manager, Business Operations, this role provides primary executive support to the Chief Projects & Legal Officer and works closely with teams across construction, development, legal, and sales and marketing. The Executive Assistant provides executive administration, coordination, and follow-through. The role is well suited to someone who manages competing priorities with confidence, communicates effectively, and builds strong working relationships across teams. This role requires judgement, adaptability, and a practical, hands-on approach.

Requirements

  • Minimum 5 years of experience providing senior-level executive or administrative support in a corporate, legal, and/or real estate environment.
  • Post-secondary diploma or degree in Business Administration, Legal Administration, Communications, or related field.
  • Strong written and verbal communication skills with high attention to detail.
  • Proven ability to manage multiple priorities and work across different teams.
  • High level of judgement, discretion, and professionalism when handling confidential information.
  • Advanced proficiency with Microsoft 365 and comfort learning new tools and systems.
  • A collaborative, service-oriented approach aligned with Peterson’s values.

Responsibilities

  • Maximize the value of executive time through proactive oversight of priorities, schedules, and information flow.
  • Manage executive calendars and meetings, including scheduling, agenda preparation, and follow-up on action items.
  • Apply sound judgement to executive email management, including prioritization, drafting correspondence, and identifying time-sensitive or high-risk matters.
  • Prepare and refine executive correspondence, presentations, and briefing materials.
  • Deliver executive administration support, including travel arrangements, expense and corporate credit card reconciliation, document preparation, and signature coordination.
  • Serve as a primary point of contact between designated executive(s), internal teams, and external stakeholders.
  • Track executive commitments and project deliverables, prompting follow-up and escalating risks as required.
  • Coordinate materials and logistics for Board of Directors and Committee meetings.
  • Exercise discretion and professionalism when handling confidential and business-sensitive information.
  • Collaborate with the Operations and Office Administration team with administrative tasks and initiatives, as needed, contributing to the smooth day-to-day operations.
