The Executive Assistant will provide administrative support to the Corporate Access and Research Services and Market Data Services teams on the COO. These teams play a central coordination and partnership role between investors, companies, and external research providers. The COO function encompasses a broad cross-section of initiatives and functions that cut across the platform including Business Management, Corporate Access and Research Services, Stewardship & Proxy Voting, Market Data Services, and Business Intelligence and Enablement. The ideal candidate will possess strong organizational, multi-tasking skills and excellent attention to detail along with outstanding service-orientation, mature judgment, and diplomacy. They will be a team player with a strong work ethic and the capacity to prioritize in a deadline-driven environment.

Requirements

  • Demonstrate advanced proficiency in MS Office (Word, Excel, Outlook, OneNote, and PowerPoint) and a willingness to learn new technologies to enhance efficiency.
  • Outstanding interpersonal and communication skills, plus high level of reliability, professionalism, and discretion.
  • Strong service orientation and proactive problem-solving skills.
  • Excellent organizational, multi-tasking, and prioritization abilities.

Responsibilities

  • Manage the overall daily support needs of the team, including: Manage complex and proactive calendar scheduling across multiple time zones for a global team.
  • Coordinate logistics for internal and external meetings, offsites, and events.
  • Preparation and submission of expense reports, ensuring they are completed accurately and submitted in a timely manner.
  • Arrange domestic and international travel, including itineraries and accommodations.
  • Generate various reports using internal and external information systems.
  • Ensure Executive Assistants across the firm are trained in the Corporate Access tools that the team uses.
  • Provide cross-coverage and backup support to other Assistants and related leadership groups.
  • Support ad-hoc projects as needed, partnering with both the immediate team and broader firm leadership.
  • Serve as a capable and reliable note taker for meetings and discussions.
  • Build strong relationships across the firm to work effectively and solve problems collaboratively.
