About The Position

The Executive Assistant to the CEO is a highly trusted partner responsible for ensuring the efficiency and effectiveness of the Office of the CEO. This highly visible role provides comprehensive executive, administrative, and personal support, managing complex calendars, travel, communications, meetings, special projects, property-related matters, and personal business activities with exceptional organization and precision. Success in this role requires outstanding attention to detail, exceptional organizational skills, and the ability to anticipate needs, prioritize competing demands, and execute with minimal direction. The Executive Assistant serves as a key liaison between the CEO and internal and external stakeholders, exercising professionalism, diplomacy, sound judgment, and the highest level of discretion when handling confidential and sensitive information. The ideal candidate is proactive, resourceful, adaptable, and committed to ensuring the CEO's time is optimized and priorities are executed seamlessly.

Requirements

  • Bachelor’s degree in business, Communication, or related field of study or equivalent education and experience.
  • 3+ years of executive administrative support experience supporting senior executives.
  • Intermediate to advanced knowledge Microsoft Office suite, including Excel.
  • Ability to exercise sound judgment and maintain confidentiality.
  • Excellent written and verbal communication skills
  • Professional demeanor with excellent interpersonal skills.
  • High-level problem-solving skills with the ability to multitask and prioritize.
  • Well developed organizational skills with a high attention to detail

Responsibilities

  • Provide proactive, organized, and efficient administrative and executive support to the CEO.
  • Organize the CEO's professional and personal administrative responsibilities, ensuring priorities are managed efficiently and confidentially.
  • Manage complex calendars, scheduling meetings, appointments, travel, and other executive commitments while ensuring effective use of the CEO's time.
  • Coordinate all meeting logistics, including conference rooms, technology, catering, materials, and attendee communications.
  • Prepare, organize, and distribute agendas, presentations, and supporting materials when needed.
  • Record, prepare, and distribute accurate meeting minutes and maintain related documentation.
  • Draft, proofread, and manage executive correspondence, reports, presentations, and other business documents.
  • Maintain organized and confidential files, records, and documentation for executive activities.
  • Screen and manage incoming phone calls, emails, visitors, and other communications, responding or redirecting inquiries as appropriate.
  • Coordinate executive travel arrangements, itineraries, and related logistics.
  • Support executive projects and strategic initiatives by coordinating activities, tracking milestones, monitoring deadlines, and following up on action items.
  • Build and maintain effective working relationships with executives, employees, vendors, and external partners while exercising sound judgment and discretion.
  • Perform other duties and special projects as assigned.
