About The Position

As Executive Assistant to our SVP of Product Development, you'll be the operational hub enabling a leadership team driving our path to certification. Your primary focus will be comprehensive administrative and operational support to the SVP of Product Development. You'll also provide coordinated support to the 5-6 member Product Development team on joint engagements, travel, and business meetings-enabling them to operate at their highest level while staying connected to the broader organization. This role requires extreme attention to detail, the ability to manage competing priorities with grace under pressure, and genuine interest in the advanced air mobility space and the aircraft we're building. You'll work alongside our office management team and interact regularly with engineering leadership, manufacturing, regulatory affairs, finance, and external stakeholders including customers, regulators, and partners. Your organizational excellence directly enables product development and certification progress.

Requirements

  • Minimum 8 years of professional experience as an Executive Assistant supporting VP/Director/C-Level executives
  • Demonstrated ability to manage multiple priorities simultaneously while maintaining calm under pressure
  • Exceptional organizational and communication skills; ability to capture detailed instructions in fast-paced environments
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), calendaring systems, and standard business tools
  • Self-directed professional who asks clarifying questions when needed but also exercises sound judgment to move forward independently
  • Strong interpersonal skills and ability to work effectively cross-functionally with all levels of the organization
  • Comfort with a fast-growing, entrepreneurial startup environment where processes evolve and flexibility is essential
  • Genuine interest in aerospace, advanced air mobility, and/or the product we're building
  • US Person (Citizen or Permanent Resident) required

Nice To Haves

  • Prior experience supporting executives in aerospace, aviation, or other highly regulated industries
  • Exposure to product development, engineering, or manufacturing environments
  • Experience coordinating with external stakeholders such as regulators, customers, or government agencies
  • Track record of learning quickly about technical topics to better support leadership

Responsibilities

  • Manage the SVP's calendar with precision, including scheduling meetings, resolving conflicts, ensuring preparation for each commitment, and maintaining organized records of all engagements
  • Coordinate all travel logistics including flights, ground transportation, hotels, meeting arrangements, and itinerary management; prepare travel summaries and handle expense reconciliation
  • Prepare for and coordinate critical meetings: set agendas, reserve facilities, coordinate materials preparation, manage A/V equipment, arrange catering and refreshments, ensure proper setup and follow-up
  • Manage communication flow - screening calls and emails, responding to routine inquiries, escalating urgent matters, and protecting the SVP's time
  • Provide regular updates to the SVP on priorities, upcoming commitments, and logistics; anticipate needs and raise flags early
  • Coordinate logistics for Product Development team travel and joint business meetings, working with team members to manage schedules and align on requirements
  • Support cross-functional meetings and engagements involving the Product Development group; manage shared calendars and coordination as needed
  • Serve as a liaison between the Product Development office and other company functions (engineering, manufacturing, regulatory, finance) to ensure coordination and clear communication
  • Maintain organized electronic filing systems documenting projects, correspondence, meeting notes, and activities; ensure easy retrieval and reference across the Product Development group
  • Reconcile monthly credit card and business-related expenses; prepare and submit monthly expense reports
  • Support special projects and ad-hoc requests that arise from Product Development strategic priorities
  • Maintain highest standards of confidentiality in all matters
