About The Position

Orbital Engineering, Inc. is currently seeking a highly organized and proactive Executive Assistant for a REMOTE WORK position. This position requires exceptional communication, time management, and problem-solving skills to anticipate needs, streamline operations, and ensure seamless coordination across the leadership team.

Requirements

  • High school diploma or equivalent
  • Minimum of 5 (five) years’ experience in an Executive administrative assistant capacity.
  • Must demonstrate strong ethics and values; be widely trusted; direct and truthful, with the ability to establish and maintain effective relationships.
  • Expert in Microsoft products including Word and Excel.
  • Experience with analyzing data, financial reporting, data inventory management and program auditing (e.g., Excel, etc.).
  • Demonstrated ability to effectively organize multiple assignments, complex assignments, and competing priorities to produce accurate results.
  • Ability to collaborate in cross-functional work teams in the development and implementation of efficiencies.
  • Must be resourceful, have strong initiative and a solution-oriented approach to situations.
  • Proven track record of supporting and working with senior/executive level leadership.
  • Meticulous attention to detail.
  • This position requires the ability to pass a post-offer drug (including marijuana) and alcohol test in compliance with Federal regulations and is also subject to random testing as a condition of continued employment.

Nice To Haves

  • Bachelor’s degree from an accredited institution
  • Corporate experience in a matrix organization.
  • Experience supporting Executive Personnel in an industrial sector such as: oil & gas, construction, chemical manufacturing, mining, utilities, power generation, engineering services, or similar.

Responsibilities

  • Provide high-level administrative support to multiple executives, including meeting arrangements, coordination, and follow-through; travel arrangements, correspondence, filing, phone messages, expense reporting, coordinating global meeting calendar for leadership team.
  • Manage key processes including distribution of information and/or reports, and scheduling or oversight of functional and executive level communications and meetings.
  • Prepare or edit professional documentation, spreadsheets, reports, presentations, and other correspondence.
  • Lead and organize numerous client and employee engagement events.
  • Coordinate vendors for maintenance and repairs at various company leased properties or company related properties.
  • Act as a liaison between senior leadership and various internal and external stakeholders.
  • Ability to act independently with little or no supervision.
  • Assist in project management and task tracking to verify projects or initiatives are completed on time.
  • Schedule domestic and international travel, organize virtual and/or in-person meetings, and manage travel budgets in a cost-effective manner.
  • Manage daily executive calendars by scheduling meetings, managing communications, and resolving overlapping meetings and conflicts.
  • Manage confidential information with discretion and professionalism.
  • Maintain superior customer service for all clients and resolve issues as they arise; ensure timely responses to both internal and external clients.
