Requirements

  • 4+ years of progressive experience directly supporting senior level executives or multiple executives in a high-growth, global, and fast-paced environment.
  • Demonstrated expertise in strategic calendar management and time efficiencies for multiple executives, requiring proactive conflict resolution.
  • Proven success in independently managing comprehensive, complex travel portfolios.
  • Technical fluency in Google workspace and collaboration platforms (e.g., Zoom, Slack, Brex)
  • Superior verbal and written communication skills with the demonstrated ability to act as a strategic partner to executives when interacting with cross-functional leaders and clients.
  • Collaborative team player with the ability of establishing and exemplifying best practices for supporting administrative teams across multiple functions.
  • Exceptional professional judgment with impeccable discretion required to handle confidential matters, along with the ability to manage ambiguity in order to drive projects toward execution.

Responsibilities

  • Strategically manage and optimize the complex, high volume calendars for multiple senior level executives and their teams, proactively resolving conflicts, anticipating business needs, and ensuring alignment with top organizational priorities.
  • Manage and execute a comprehensive, complex travel portfolio for all supported executives, including the anticipation of logistical requirements, managing intricate visa/passport details, and developing optimized travel schedules.
  • Oversee and audit executive expense process of reporting and reconciliation for compliance.
  • Act as a trusted liaison for the supported executives, fielding and filtering high-priority communications.
  • Lead, guide, and mentor other administrative team members, establishing best practices, standard operating procedures, and efficient workflows across multiple functions.
  • Directly plan, organize, and execute logistics of internal and external events, often requiring the ability to navigate ambiguity.
  • Drive and manage special projects with an understanding of organizational goals.
